Tutorial

Step 1. Open your process blueprint and assess its performance with Blueworks Live IQ
  1. Open the Library tab and go to the Templates tab.
  2. Import the Hiring - Onboarding process blueprint to the space of your choice.
    • The process includes the following phases (milestones): Candidate selection, background check, offer creation, HR record setup, orientation, and workspace provisioning.
    • Involved roles and teams include: Recruiter, Hiring manager, HR docs team, HR Specialist, Facilities team, Background check vendor, Candidate, and others.

Blueworks Live IQ uses this process structure, its elements and relationships, and all available metadata as context.

  3. When the Hiring - Onboarding blueprint is open, click the AI icon to open the chat panel and select the Blueworks Live IQ tile to start a conversation. Blueworks Live IQ is now ready to analyze your onboarding blueprint.

  4. In the chat, enter the following prompt:
Analyze this process and tell me how to improve it

Blueworks Live IQ is specifically trained to deliver KPIs, benchmark comparisons, bottleneck identification, and automation suggestions as part of its process‑assessment capability. The full assessment is provided in the chat.

Step 2. Review structured assessment from Blueworks Live IQ
Your assessment typically includes the following components:
Table 1. Blueworks Live IQ process assessment

Identification of inefficiencies, delays, and bottlenecks.

Detects bottlenecks such as:
  • Long sequential dependencies (background checks → offer letter → HR setup).
  • Personnel availability issues (manager not available at the requested start date).
  • Hand-offs between too many swim lanes (recruiter → vendor → HR docs team → HR specialist → facilities team).
  • Workspace provisioning delays (equipment, workspace, and badge requests done late in the process).

Prioritization matrix

Summarizes the top priority improvements and clearly indicates their urgency level, estimated impact, and required effort to fix.

Relevant industry SLAs and KPIs

Generates Service-Level Agreements (SLAs) and Key Performance Indicators (KPIs) based on your blueprint’s BPMN structure and available metadata, such as:
  • Time-to-hire
  • Onboarding completion time
  • Offer acceptance rate
  • Background check completion rate
  • Equipment provisioning time

Suggestions for focused improvements and targeted automations

Recommends high‑value automation opportunities such as:
  • Automated data synchronization between swimlanes to streamline the data feed process.
  • Scheduling tools to increase managers' availability for training.
  • Auto‑generation of offer letters based on a pre‑approved template
  • Auto‑routing of background check requests to vendors and auto-triggered status updates.
  • Flexible orientation system and clear guidelines to accommodate new hires' onboarding.
Blueworks Live IQ is explicitly designed to surface automation opportunities aligned with inefficiencies.

Step 3. Refine the assessment
To deepen the analysis, use the suggested follow-up prompts in the chat panel, or ask more targeted prompts. For example:
  • Prompt: Impact of reducing long sequential dependencies
Analyze the impact of reducing the 48-hour lag on overall onboarding efficiency.

Blueworks Live IQ can outline the main benefits, such as streamlined background checks, faster equipment provisioning, efficient workspace allocation, prompt access badge issuance, improved candidate experience, and overall process acceleration.

  • Prompt: Benchmark comparison
Compare the current onboarding KPIs with industry benchmarks
Blueworks Live IQ can compare estimated performance with common benchmarks or synthetic performance ranges. For example, it might indicate:
    Benchmark Generated response example
Time-to-hire "Typically, the industry benchmark for time-to-hire ranges from 30 to 45 days. If the current time-to-hire is significantly higher than 45 days, it indicates a need for a process optimization."
Onboarding completion time "The industry benchmark for onboarding completion time is usually around 1 week (7 days)."
Offer acceptance rate "A healthy offer acceptance rate is typically around 90% or higher."
Background check completion rate "The industry benchmark is around 95% within 72 hours".
Equipment provisioning time "The industry benchmark is typically around 48 hours".
Note: Always validate these benchmarks, as Blueworks Live IQ might use synthetic example values.
  • Prompt: Identify bottlenecks
Identify the top bottlenecks in this onboarding process and quantify their impact based on the metadata available in the blueprint.

Blueworks Live IQ is trained to detect delays and bottlenecks and will often highlight tasks like background checks, HR data entry, or workspace provisioning.

  • Prompt: Role overload
Based on swimlane workloads, which roles appear overloaded or underutilized in this onboarding process?

Given the roles in the provided blueprint (Recruiter, Background check vendor, HR docs team, HR specialist, Facilities team, Hiring manager), IQ will evaluate task distribution.

  • Prompt: Benchmark variation
Show how our onboarding cycle time compares to typical industry ranges and highlight any tasks significantly slower than benchmarks.
  • Prompt: Actionable improvement plan
Provide a concise, actionable improvement plan that clearly describes top priorities and indicates the swimlanes and milestones relevant for each step, and how they are affected.
Provide expected cycle-time reductions, recommended automations, and required data enhancements to improve analysis fidelity.

What to do next

Validate recommendations with stakeholders

Blueworks Live IQ provides guidance, not automated decisions. Always confirm results with relevant stakeholders before implementation.

Iterate and update metadata
High‑quality metadata leads to better analysis. If Blueworks Live IQ flags missing values, you can update the blueprint:
  • Add task duration, for example, background checks usually take X days.
  • Enter costs for vendor-operated tasks.
  • Assign participants to unassigned activities.
  • Add cycle times, SLAs, or form‑completion times.

Blueworks Live IQ can also check for missing elements and can propose realistic values to complete your model. You can then rerun prompts to obtain updated KPIs and refined recommendations.

See Verifying process completeness with Blueworks Live IQ for step-by-step instructions on how to verify your blueprint's structure and identify potentially missing or incomplete information.
