Creating spaces

Create a new space when you want an area to contain your own work, work done by your team, or work that is associated with a specific project.

On the Library page, click Create New Space.

Give your space a name that will tell others what kind of work is being done in that space. Your organization might choose to define naming conventions for spaces and other Blueworks Live artifacts to ensure consistency.

You can create your space within another space, making it easier to find and navigate to related spaces and artifacts. For example, you might create a space for defining new hiring processes within the Human Resources Projects space. Don’t forget to follow your new space after you create it so that it’s easy to find and so that you can receive notifications about activity within your space.

Controlling what users can do in your space

You can add other users to collaborate with you on artifacts within your space in the Users tab.

If your space was created within a parent space, you can select to inherit the same user settings as the parent or define your own.

To define user settings for your space:
  • Add a user or group, by clicking Add and selecting the user or group.
  • Use the check boxes to specify what actions you want to allow each user or group to perform in your space.
    Note: Any user that is a participant in a space can view the process apps and policies in that space regardless of whether they have been granted additional permissions in the space. However, by default, blueprints and decisions are only visible if they are published or if the user has edit access to them.

Blueprint Processes View, create, edit and publish process blueprints.
Automate Processes Create or reconfigure workflow and checklist-style process apps for reviewing and approving.
Create Decisions View, create, edit and publish decision diagrams.
Create Policies View, create and edit policy documentation.
Manage and Edit Space Add other users, assign permissions, change space details, view and export Space Stats, and delete the space.

Working within your space

The space shows you all of the artifacts that are created or imported into the space. In the Space Details area, you can provide information about the objectives of the work that is done in your space.

The Activity stream shows the history of all the activity in the space, updates to artifacts, or conversations between members of the space. You can post messages here to other space members. You can export the details of your space, including information about all the artifacts it contains, to a Microsoft Excel worksheet.
