Search

The search feature in IBM Blueworks Live is a powerful tool to quickly locate content across various categories such as spaces, subspaces, and blueprints. It enables comprehensive searches within artifact names, descriptions, activities, labels, and participants, helping ensure that no critical information is overlooked. Also, users can refine their searches by using advanced search parameters. The search allows for precision by targeting either whole or partial words, thus streamlining the process of finding specific content. The search helps you to find all artifacts that match your search terms. This enhanced search function allows for a more granular filtering by using customizable search options.

  • The scope of the search depends on the text in the search box. For instance, if the text reads “search spaces,” the search is limited to spaces within the account. Otherwise, it searches across all artifacts, excluding glossary items.
  • Search reviews all parts of each artifact, such as name, tags, activity labels, properties, problems, comments, and more. It is not case-sensitive and supports phrase search by using quotation marks. For example, searching for Business Unit finds items with either “Business” or “Unit,” but searching for “Business Unit” returns only items with the exact phrase.
  • Singular and plural terms are treated equally. For instance, searching for Claims also finds Claim.
  • The search results display only the artifacts for which you have access. And if an artifact is located in a restricted workspace, it gets displayed only if you have permission.
  • Only licensed viewers can view published artifacts. Search cannot be used for glossary items.

Search filter options

  1. Select filter category

    To select the artifact type (Account, Space, Process, Decision, Policy, User groups, Blogs, Tags, and Templates). Depending on the selected category, the additional subfilters become available. For example, selecting Account shows the Scoped search subfilter, while User groups does not.

  2. Scoped Search

    It helps refine the search to include or exclude certain spaces, providing more focused results.

    Scoped search filter options
    • Include subspaces- This filter option appears when Space is selected from the Select filter category dropdown list. You can use this option to choose whether to include subspaces in the search results.
    • Search space- This filter option appears when Process, Decision, or Policy is selected from the Select filter category dropdown list. You can select the parent spaces of the artifacts from the Space name search text box. If you select the Include subspaces in search checkbox, subspaces also gets included in the parent spaces of the artifacts.
    • Status- To filter the search results by showing only active, archived, or a combination of both types of artifacts.
    • Publication status- To narrow the results by selecting only published, unpublished, or both types of artifacts.
  3. Search In- To specify areas within each category, such as artifact names, descriptions, activities, and events, offering more detailed control over the search focus.

  4. Advanced search parameters- To define whether the search needs to match partial words or only exact terms, granting even more precision in search results.

Filter

The Filter option refines the visible items to match the entered term.

  • If you are in a workspace, only artifacts that have matching names or tags remain visible.
  • Unlike Search, Filter does not look for matching strings within the content of the artifacts.
  • When using the glossary, Filter restricts the displayed terms to those matching the input string, with counts displayed next to each glossary section header.
