Managing work
Manage and work on your tasks, participate in workflows and cases to complete work and,
with associated permission, use dashboards to manage and evaluate the workload and performance of
your teams.
Two work portals are available for you to manage and complete your work, which are supported on
both traditional and on containers Business Automation Workflow environments.
- Workplace offers a newer, modern, and easily customizable experience that enables you to create your own custom-built work environment tuned to your needs and your team's needs. Its flexible design supports a more intuitive way of managing tasks, workflows, and cases in one place, making it easier for you to organize your work and improving your productivity.
- Process Portal is the earlier, coach-based work portal for tasks and process instances only (no cases), which might be more familiar if you depend on existing configurations and legacy implementations. Process Portal is operational and fully supported but might be targeted for deprecation as Workplace takes precedence as the primary experience.
- The IBM Workflow Runtime MCP Server enables AI assistants to automate routine tasks and improve productivity. Workflow operations such as searching for and initiating new processes, managing cases, and updating business data can be automated.

- Workplace is supported in both traditional and on containers Business Automation Workflow environments, providing a consistent portal across platforms and simplifying transitions between deployment models.
- Single place to complete different types of work
- Workplace
consolidates process and case work into one interface, enabling you to orchestrate, prioritize,
track, and complete all work types in a unified view. Tasks, workflows, and cases share a consistent
user experience. Managers can also oversee team workloads and performance through built‑in
dashboards.Tip: Accessing case instances in Workplace requires Process Federation Server (in federated environments) or Federated Data Repository (in nonfederated environments) be enabled, and also indexing of case instances in the Federated Data Repository. See Indexing case instances.
- Advanced searches for processes and cases
- Workplace supports advanced searches for process and case instances in both federated and nonfederated environments through Elasticsearch or OpenSearch indexing. Starting in 24.0.0.0, Workplace connects directly to the Federated Data Repository, enabling efficient search across indexed process and case data in both federated or nonfederated environments.
- Customizable and reusable views
- Workplace provides flexible customization options for task lists, including sorting, filtering, and layout adjustments. You can save your custom views for reuse or share them with your teams, supporting tailored work experiences and consistent team configurations.
