Document Search View page

The following tables describe the different areas of the Document Search View page, including the following areas:

Search

Button or Field Description
Sender ID Unique identifier for the sender of the interchange.
(Sender) Qual Unique qualifier associated with the unique identifier for the sender of the interchange.
Receiver ID Unique identifier for the receiver of the interchange.
(Receiver) Qual Unique qualifier associated with the unique identifier for the receiver of the interchange.
Mailslot Identifier for your mailslot. An optional description displays for the mailslot, if a description was indicated when creating or editing a user account.
Search Perform the search and update the page with the results.
Download Search Document View Enables you to create a user-run report that returns all of the information displayed on your Search Document View page. Select the output from .xls, .csv, .xlsx, or .xltx.
Swap Sender/Receiver IDs Exchange (swap) the sender and receiver IDs so you can perform the search, accordingly.
Funct Group Functional group type consisting of a one-character industry code and a two-character functional ID. To view a sample list of functional group types, see Functional group types .
Interchange Cntl Identifying number associated with the interchange.
File Name The file name specified for the batch by the originator.
Mailbag Control # Unique identifier for a mailbag batch associated with a mailbag sender and receiver.
Document Document type that you want to locate—for example, invoice (810) or purchase order (850).
Business Doc # Number that identifies the document business information—for example, a PO number, invoice number, or shipment number.
Select Date/Time Option Whether the search should use the date and time for either loaded or picked up mailslot information. The following options are available:
Picked Up Date/Time
Search by the date and time the data was picked up.
Loaded Date/Time
Search by the date and time the data was loaded into the system.
Select Inbound/Outbound Option Whether to search for inbound or outbound data or a combination of inbound and outbound data. The following options are available:
Inbound
Display only inbound data.
Outbound
Display only outbound data.
Inbound and Outbound
Display inbound and outbound data (default).
From Date/Time Beginning date and time fields that enable you to search for mailslot information. The following options are available:
From Date
Beginning date in MMDDYY format that you want to locate mailslot information.
From Time
Beginning time in HHMM format that you want to locate mailslot information.
Note: Enter all dates and times without colons, commas, or slashes.
To Date/Time Ending date and time fields that enable you to search for mailslot information. The following options are available:
To Date
Ending date in MMDDYY format that you want to locate mailslot information.
To Time
Ending time in HHMM format that you want to locate mailslot information.
Note: Enter all dates and times without colons, commas, or slashes.
Select Status Status of interchange. The following options are available:
All statuses
Display all interchanges regardless of its status (default).
Archived
Display archived interchanges.
Available
Display interchanges available for download.
Delivered
Display interchanges that have been delivered.
Delivering
Display interchanges that are being delivered.
Dialed
Display interchanges dialed out to the receiver
Dialing
Display interchanges being dialed out to the receiver.
Error
Display interchanges that contain errors.
No criteria met
Display interchanges where document-level carbon copy setup was invoked, but no data in the document matched the setup criteria.
Picked Up
Display interchanges downloaded to the receiver.
Rejected
The recipient received the message but was unable to extract its contents.
Rejected by Rcvr
Display interchanges where the receiver was not set up to receive this type of document.
Undeliverable
B2B Integration SaaS is unable to deliver the message to the intended receiver.
Note: Only status options that apply with the method you use to retrieve data from your mailslot display.

Interchange

Button of Field Description
Up Arrow Column indicated by this arrow is currently in ascending order.
Down Arrow Column indicated by this arrow is currently in descending order.
Change Status? After you click Reload to Mailslot, Mark as Picked Up, or Redial, the status of a document is reset. You cannot use the Change Status? check box if the document is unavailable, if the status is incomplete, error, or dialing, or if the owner of the mailslot is the sender of the information.

Note: Use the Select all or the Clear all check boxes to select or deselect all documents on the page. If the check box is not available, this document cannot be picked up or restored from the Document Search page.
Picked Up or Dialed Whether to search for interchanges picked up or dialed to you. The following options are available:
Picked Up
Display the date and time the interchange downloaded from the mailslot to your system. Available only if you receive data by picking it up from your mailslot.
Dialed
Display date and time the interchange dialed to your system. Available only if you receive data dialed to you automatically (event-driven EDI).
Note: Time is US Eastern.
Loaded Date and time interchange loaded into the mailslot and became available for download.
Status Current status of the interchange. Status values depend on how you (if you are the receiver) or your trading partner (if you are the sender) for that interchange receives data.

If B2B Integration SaaS automatically pushes data out to you or your trading partner (also known as event-driven), the following status values are available:

Archived
Interchange is saved in Document Visibility. To view archived data, click the interchange control number.
Delivered
Display interchanges that have been delivered.
Delivering
Display interchanges that are being delivered.
Dialed
Interchange was dialed out to your system.
Dialing
Interchange is being dialed out to your system.
Reloaded
Interchange is being reloaded, which is the first step in being dialed to your system again.

Interchange is ready for download.
Dialed
Interchange was dialed out to your system.

Interchange is pending for download to the receiver.
Picked Up
Interchange has been downloaded to your system.
Rejected
The recipient received the message but was unable to extract its contents.
Reload Pending
Interchange is pending for reload to mailslot.
Undeliverable
B2B Integration SaaS is unable to deliver the message to the intended receiver.
Interchange Control# Identifying number associated with an interchange. After performing a search, you can view EDI data for this interchange. To view the raw data for this interchange, click the interchange control number. For more information, see View Data page.
Funct. Group Functional group type consisting of a one-character industry code and a two-character functional ID. After performing a search for outbound documents, you can view the functional group data. To view the data, click the functional group.

To see a sample list of functional group types, see Functional group types.

Document Document type—for example, invoice (810) or purchase order (850). After performing a search for outbound documents, you can view the document information. To view the information, click the document type.
Business Doc # Number that identifies the document business information—for example, a PO number, invoice number, or shipment number.
Qual/Sender ID Unique identifier for the sender of the interchange. To view details about this sender, click the ID to transfer to the Look Up Trading Partner page. On this page, the Company Name and Value Added Service Provider associated with that Qual/Sender ID displays. For more information, see Looking up a trading partner .

If you reload an archived interchange, status messages are displayed in this field. For information about reloading, see Reloading to your mailslot (for picked-up data only) .

Qual/Receiver ID Unique identifier for the receiver of the interchange. To view details about this receiver, click the ID to transfer to the Look Up Trading Partner page. On this page, the Company Name and Value Added Service Provider associated with that Qual/Receiver ID displays. For more information, see Looking up a trading partner .
Int/Grp/Doc Seq Interchange, group, and document sequence number that sequentially identifies each document.
File Name The file name specified for the batch by the originator.
Note: This column displays only if a stored file name is associated with the batch and if your mailslot is set up to preserve file names.
Sender Mailbag # Unique identifier for a mailbag batch associated with a mailbag sender.
Note: This field displays only if a mailbag control number is present. However, in most cases, a mailbag number is not present.
Receiver Mailbag # Unique identifier for a mailbag batch associated with a mailbag receiver.
Note: This field displays only if a mailbag control number is present. However, in most cases, a mailbag number is not present.
Select all Selects all interchanges on the page.
Note: If there is no data on the page to pick up or reload, this option is unavailable.
Clear all Deselects all interchanges on the page.
Note: If there is no data on the page to pick up or reload, this option is unavailable.

Function

Button or Field Description
Reload to Mailslot Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the interchanges you want to reload. For more information about reloaded interchanges, see Changing interchange status .
Redial Applies only if data is dialed to you automatically. Click this button after checking the Change Status? check boxes next to all the interchanges you want to redial. For more information about reloaded interchanges, see Changing interchange status .
Mark as Picked Up Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the interchanges you want to mark as picked up or downloaded. For more information about reloaded interchanges, see Changing interchange status.
First Page Returns to the beginning of the Search Document list. This button also refreshes the data.
Page Up Returns to the previous page of the Search Document list. To go back to the first page of this list, click First Page.
Page Down Moves to the next page of the Search Document list.
