Control email notification delivery

As an administrator, you can control which events generate email notifications to your users.

You can control notifications at the organization, workspace, and shared inbox levels, using the inbuilt inheritance scheme to accelerate and simplify customization. See Customize email notification templates for related information and procedures.

Configure organization-level notification delivery

Note: Only organization administrators can configure organization-level settings.

Keep the following behaviors in mind:

  • By default, all notifications are enabled. For your organization, you can do one of the following:
    • Allow notification delivery settings to remain at their system default settings (all notifications enabled).
    • Disable all notifications.
    • Customize which notifications are delivered.
  • Settings at the organization level are inherited by all workspaces in the organization to become workspace-level default settings (which can be modified for individual workspaces).

To control email notification delivery at the organization level, do the following:

  1. Go to Organization > Notifications.
  2. To disable all notifications for this organization, click Toggle all notifications. Skip to step 4.
  3. To customize notification settings for this organization, click the toggle for each notification as required.
  4. Click Save.

Configure workspace-level notification delivery

By default, workspace notification delivery settings are inherited from the organization settings. You can customize the settings for individual workspaces.

Keep the following behaviors in mind:

  • Pre-existing settings in each workspace are inherited from the organization settings. You can override these for each individual workspace if desired.
  • Settings for a given workspace are inherited by each shared inbox in the workspace.

To control email notification delivery at the workspace level, do the following:

  1. Go to Workspaces > workspace_name > Notifications.
  2. To override the settings inherited from the organization, click the toggle labeled Use organization settings to Off.
  3. Click the toggle for each notification as required.
  4. Click Save.

Configure shared inbox-level notification delivery

By default, shared inbox notification delivery settings are inherited from the workspace settings. You can customize the settings for individual shared inboxes.

By default, the notifications you select go to all shared inbox members. But if desired you can limit notification delivery to members you specify (this setting applies to notifications for shared inbox events only, not to workspace- or org-level notifications).

Keep in mind that the pre-existing settings in each shared inbox are inherited from the workspace settings.

To control email notification delivery at the shared inbox level, do the following:

  1. You can configure email notifications from the Admin or Packages app:
    • In the Admin app, go to Workspaces > workspace_name > Applications > Packages > Shared inboxes > sharedInboxName > Notifications.
    • In the Packages app, click Manage in the left-side navigation panel, then click sharedInboxName > Notifications.
  2. To override the settings inherited from the workspace, click the toggle labeled Use workspace settings to Off.
  3. Click the toggle for each notification as required.
  4. To specify individual recipients for these notifications, click the toggle labeled Send to custom recipients to On. Select recipients from the existing members of the shared inbox. If you don't specify individual recipients, all shared inbox members receive notifications.
  5. Click Save.
