Share folders with external users

When an Aspera on Cloud user shares folders with an external user, Aspera on Cloud sends an email to the recipient notifying them of the shared content. When the recipient clicks the link in the email notification, Aspera on Cloud directs them to create a password and log in to Aspera on Cloud. The recipient then has an Aspera on Cloud account, and can access the shared content in an Aspera on Cloud portal. This user become a Limited user in the organization.

The Aspera on Cloud workspace member shares with external users by right-clicking a folder in the Files app and selecting Share. Then they enter the email address of the external user and apply the intended access permissions for this user.

  1. To configure the global files app, go to Applications > Files > Profile > Collaboration > Who can share folders with external users.
    • Select All members (default) to allow all members of workspaces in your organization to share folders with external users.
    • Select Managers only to allow only managers of workspaces to share folders with external users.
    • Select No one to prevent all workspace members, including workspace managers, from sharing with external users.
  2. Click Save.

    The setting you choose here is inherited by all workspaces in the organization. To override this inherited setting for a given workspace, go to the next step. Note that for a given workspace, you can specify emails and groups that are eligible to receive access to a shared folder; this prevents workspace members from sharing with users whom you have not designated as eligible.

  3. To configure this Files app setting for a given workspace, do the following:
    1. Go to Workspaces > workspaceName > Applications > Files > Settings.
    2. Deselect the check box labeled Use global app settings.
    3. In the field labeled Who can share folders with external users, select the intended workspace member type for this workspace: All members, Managers only, No one.
    4. If you chose All members or Managers only in the previous step, you can specify people with whom workspace members are permitted to share folders. Select the intended users in the field labeled Who are eligible external users.
    5. If you select Only the following emails and groups or Any email plus the following groups in the previous step, enter the intended recipients in the following field.
  4. Click Save.
