Send files to external users

Configure which workspace member types, if any, can send packages to users outside the workspace. When you allow members to send to external users, you can list specific eligible recipients.

If the Packages app is enabled both globally and for a given workspace, all members of that workspace can send packages to fellow workspace members. This is a fundamental function and cannot be changed. By default, all such workspace members can also send packages to members in other workspaces, and to people outside the organization. However, you can limit that capability.

  1. To configure global Packages app settings, go to Applications > Packages > Collaboration > Who can Send packages to external users.
    • Select All members (default) to allow all members of workspaces in your organization to send packages to users outside the current workspace. They do this by entering the recipient's email address in the 'Send files' form.
    • Select Only workspace managers to allow only managers workspaces in your organization to send packages to users outside the current workspace.
    • Select No one to prevent all members of all workspaces, including workspace managers, from sending packages to anyone outside the current workspace.
  2. Click Save.

    The setting you choose here is inherited by all workspaces in the organization. To override these inherited settings for a given workspace, go to the next step.

    Note that in a given workspace, you can list specific outside users as eligible recipients; this list prevents workspace members from sending packages to outside users you have not specifically listed.

  3. To configure Packages app settings for a given workspace, do the following:
    1. Go to Workspaces > workspaceName > Applications > Packages > Profile.
    2. Clear the box labeled Use global app settings.
    3. In the field labeled Who can send packages to external users, select the desired option.
    4. If you chose All members or Only workspace managers in the previous step, select eligible recipients in the field labeled Who are eligible external users.
    5. If you selected Only the following emails and groups or Any email plus the following groups in the previous step, enter the intended recipients in the following field.
  4. Click Save.
Note: This setting is not available for an individual shared inbox. All shared inboxes in the workspace inherit the workspace configuration.
