What is a workspace?

The workspace is a collection of Aspera on Cloud users working together—on a project perhaps, or in a department or division. Users in a given workspace can freely collaborate with other members of the same workspace.

You need specific permissions, configured by the organization administrator or workspace manager, to collaborate with users outside the workspace.

The users, packages, files, and folders in one workspace are completely separate from those in another workspace.

The workspace name displays in the upper left corner, immediately below the app name (Files or Packages apps).

Membership in multiple workspaces

You may be a member of more than one workspace. You may have different permissions and access in one workspace than you do in another.

If you are a member of multiple workspaces, you can display them by clicking the caret beside the workspace name, then selecting the intended workspace to switch to it. If you have membership in more than five workspaces, you can pin one or more to keep them at the top of your list for convenient access.
Note: Multiple workspaces are available depending on your subscription edition. To see your edition, click the User icon and see Account settings > Account > IBM Aspera on Cloud Edition.

Workspaces in the Packages app

As a workspace member in the Packages app, you send and receive digital packages. You can access your personal inbox ("My Inbox"), which contains the packages sent to you as an individual. You can also access your sent, archived, and deleted or expired packages.

Optional Permissions

You may also have the following capabilities in your Packages workspace:

  • Sending to people who are not members of your workspace.
  • Sending a file request to someone outside your workspace, inviting them to send you a digital package.
  • Membership in one or more shared inboxes.
    Note: Shared inboxes are available depending on your subscription edition.

Workspaces in the Files app

As a workspace member in the Files app, you have access to a collection of folders shared with you by your administrator and by other members of your workspace. When others share a folder, they may share it with you only, or they may share it with multiple people. Your collection of folders may be very different than the collection of another user in the same workspace, though you may share some of the same folders.

The person sharing also grants various permission levels to these folders and their contents (for example: view, download, delete, and several others ); your permission to one folder may be different than your permission to another folder. Similarly, your permission to a folder may be different than the permission another user has to that folder.

Even when folders are shared with multiple members of your workspace, you can move and rename folders without affecting the location and naming of those same shared folders in other users' applications. You can share folders in your workspace with other members of your workspace; you may also be able to share folders with people outside your workspace.

Note: In rare circumstances, folders in your workspace may display in red, indicating that they are currently unavailable; contact your administrator or workspace manager for assistance.

Optional permissions

You may also have the following capabilities in your Files app:

  • Uploading files and folders into your Files app workspace; the content you upload remains private to you until you share it with others.
  • Creating new folders in your workspace.
  • Sharing a folder with someone outside your workspace.
