Report Level Date Range
The feature allows users to update multiple visualizations at once in one report, regardless of the number of visualizations. This feature should streamline the processes of updating reports to new accounting periods.
Points to remember
Report Level Date Range works in view modeReport level date range works in view mode only. The dates setup will not change in the edit mode automatically. They will always be subject to manual changes introduced by the report editor.
All visualizations must be sharing the same calendarReport Level Date Range works only for reporting where all visualizations are prepared using data sources sharing the same calendar. If a report contains visualizations with multiple calendars the Report Level Date Range selection will be unavailable, and a warning message will be displayed after hovering over it.
Date selection created on the Report Level Data Range level does not get carried over when you copy a report. The visualization will have the original dates selected by the report editor. It will be possible to set up the view dates in the new report.
Selecting the Report Level Date Range checkbox is requiredWhen creating a visualization, it is important to select the checkbox: Report Level Date Range if the visualization should get automatically updated together with the whole report. (This option is preselected as default). Once this is done the visualization will inherit dates from the report when changes are made on that level. If this is not done the visualization will not inherit dates from the Report Level Date Range but it will always be displayed with the dates selected by the editor.
Metrics introduced as Custom Formula have dates selected separately during their creation. As they do not inherit dates from the visualization itself, they will also not inherit dates set up as the Report Level Date Range.
Default datesReport editors have a possibility of setting up Default dates for report viewers. Selecting a default date range is done by selecting the checkbox “Set as Default” in the top right conner available for the report editor. If they choose to do so viewers will be able to use the default dates or select their own preferred period for the report. Multiple viewers of the report will be able to see the same report through different time lenses, by selecting their own Report Level Date Range, they do not have a possibility of creating a Default view for other users though.
Unreversible actionSelecting a new time range by the viewer as the Report Level Date Range is an unreversible action as we do not keep track of previous selections the viewer has made. Viewers are warned about this by a modal confirming if they want to proceed changing selected dates. However, viewers may always go back to the original dates selected by the editor by selecting the Remove Date Range button on the modal.
Report Level Date Range sets up only the primary date of the report. There is no possibility of selecting the comparison dates at this level, it has to be done individually for each visualization. For Previous Period and Previous Year: Same Period the comparison logic is set up in the edit mode and carried over to the view mode after setting up the Report Level Date Range. Example: In the edit mode the date selected was: This Month and the comparison was Previous Period. Later the Report Level Date Range is modified to This Week. The visualization will be presenting a comparison of This Week with the Previous Period data = Last Week. This logic does not work for Custom date range comparisons which always stay intact, no matter how the display date range was modified.
Setting up the Report Level Date Range
Once the report creator or editor sets up visualization to inherit dates from the Report Level Date Range the viewer will be able to change the dates in their display. On the report level it is easy to spot if the Report Level Date Range has been set up or not. In the top left corner, we see that the global filter does not have any specific date. Also, by looking at the individual visualizations it is visible that they have different time ranges set up.
Once the Select Date Range button is selected a modal will pop up allowing to select the date range for the whole report. It is possible to choose the appropriate date from a list of options or use custom selection to specify exact dates to be used in the report.
After selecting Save, an alert modal appears warning the user that their action cannot be reversed.
After the change was successfully processed:
- The Report Level Filter is showing the date selection,
- Individual visualizations enabled to inherit dates from the Report Level Date Range have been updated with the selected dates.
NOTICE
- When a report is exported to a PDF format visualizations will have the dates selected by the viewer who performed the download.
- When a report is sent via mail it has the dates selected by the viewer who is subscribed to the report.
- The Report Level Date Range is kept for the viewer even after their session is over, so when returning to the same report even a few days later the same date selection will be kept.
