Reserving and releasing items

You can reserve, reserve and edit, and unreserve items in a particular workflow step. You can also perform actions on the items, to ensure that the item moves to the next step in the workflow.

About this task

You use the collaboration area rich searches to search workflow steps and to subsequently update the items that are used in a particular step of a workflow. The results of your query return workflow steps and items that are checked out, or reserved, to a particular collaboration area.

You need to designate which roles at which steps need to use the reserve and release functionality. During the setup process of a step, there is checkbox that needs to be enabled. Whomever is the performer for that step, that role then becomes the role that is able to use the reserve and release functionality.

Procedure

Click Data Model Manager > Workflows > Workflow Console. A list of workflows are displayed.
Select a workflow to edit. The Workflow Edit screen opens.
Select a step from the workflow. The Step Edit screen opens.
Select an item within the step. The Item Edit screen opens.
Select the Reserve Status check box or the Release Status check box to reserve or release an item. After an item is reserved you can edit the item.
Optional: Search on items based on status. Select the Reserve Status check box to search workflow steps based on their reserve status. The types of reserve status include, Reserved by yourself, Available, and Reserved by other.
