Setting up data filters

With data filters, admins can customize the data that users see in InFlight.

Data filter basics

Data filters are essentially search filters for data, that are constantly applied to users you specify.

Data filters are an extra layer of security in addition to permissions. While permissions define the actions users can take and which types of data they can view, data filters define the data users can see in searches, in reports, and on the Dashboard.

Data filters can be helpful if you have users that only require access to some of your company's data. For example, if your finance department only works with certain document types, you can create a data filter for that department and only allow those users access to what they need. Data filters keep your company data on a need-to-know basis, while also simplifying your users' experience.

Data filters are optional; by default, no data filters are applied to any user accounts.

Use data filters to restrict access to data

Data filters can filter data by:
  • Document type (allowing users to see only certain document types)
  • Sender (allowing users to see documents from only certain senders)
  • Receiver (allowing users to see documents from only certain receivers)
  • Status (allowing users to see documents with only certain statuses)
  • Acknowledgment status (allowing users to see documents with only certain acknowledgment statuses)
  • Only admins can create, edit, and delete data filters. You can create and manage data filters in Setup > Data filters.
  • Data filters take effect as soon as users are added. Admins do not need to wait until a user's next login for data filters to be applied.

Users for each data filter

You can add as many users to a data filter as you want.

Users can have multiple data filters applied to their account simultaneously. If any of the permissions conflict, the more restrictive permissions are used.

Users that are added to a data filter cannot restart files, resend files, or view the Unprocessed files page.

Edit, remove users from, or delete a data filter

To edit a data filter, add or remove users from a data filter, or delete a data filter, go to Setup > Data filters and select the data filter you want to modify.
