Sending email

You can send email from your contact list or from your Mail folder. If you send an email to a recipient who is not in your contact list, you can add the recipient to your contact list.

About this task

Use the rich text editor to select attributes for your email text. The quickest way to select attributes is to enter all the message text, select the text, and then select the wanted attributes.

Restrictions:
  • The maximum number of recipients of an email is 150.
    Note: Delivery time is affected by the number of recipients you specify. Using a distribution list can provide better performance. Contact your account administrator to set up a distribution list when you send email to many recipients.
    Note: As stated in section 18.8 of IBM® SaaS Terms of Use, http://www.ibm.com/cloud-computing/social/us/en/planspricing/, Web Mail Cloud provides features to protect your enterprise and block or filter the distribution of bulk email.

    Email that is identified as bulk email, for example, newsletters, and also large volumes of external email, is not delivered.

    If you need to send email that might be identified by Web Mail Cloud as bulk email, contact your account administrator. If you are an account administrator and have questions about bulk email filtering and blocking, contact your IBM representative.

  • You can attach up to 10 files to each email.
  • The maximum size for an email that you send, including all attachments, is 28.5 MB.
  • When you use Internet Explorer, unexpected behavior might occur when you work with email with embedded images. If you open this type of email, and initiate several Forward or Reply actions but select Close instead of completing any Forward or Reply action, an error message might be displayed.

Procedure

  1. Select how to send an email:
    • Use contacts from your contact list:
      1. Navigate to Contacts.
      2. Select the contact list that contains the users to whom you want to send an email. Select the check box next to all contacts to whom you want to send an email.
      3. To send an email to a personal group, select Groups. On the Groups page, select the check boxes next to the groups that you want to include.
      4. Select Send message. The New message page is displayed. The email addresses of all users or group members that you selected are added into the To field.
    • Send an email directly from your Mail folder:
      1. Navigate to Mail.
      2. Select New message. The New message page is displayed.
      3. Enter the email addresses for all recipients in the To field.
  2. Optional: Use the cc or bcc field to specify users or a group to whom you want to send a carbon copy or blind carbon copy of the email. If you select a group, the email addresses of all group members are added into the cc or bcc field.
  3. Optional: Enter the first few characters of a user or group name in the To, cc, or bcc field, and select an item from the automated suggestion list.
  4. Optional: Select High priority to send the email as high priority.
  5. Type the text for the email. For information about Known Issues with various browsers and the Rich Text Editor, refer to the Known Issues document on the wiki.
  6. Optional: Select Find files to attach one or more files. A window is displayed that prompts you to find the file and upload it. If you experience a problem on your mobile device with the file attachment link when you use the default browser, use a third-party browser, such as Chrome, to send the email with file attachments.
  7. Optional: Select CTRL+P or the Print function in your browser to print the email before you send it. If the message text exceeds the length of the default editing area, you must manually expand the vertical editing area to print all the message text. If your email content is wider than the editing area, for example, a wide image, the content is truncated. The entire content is included when the email is sent.   8. Select Send.
