Uploading responses using a template

You can upload responses to add or update multiple disclosure questions at once using a csv template. This helps you work more efficiently when working on many questions or collaborating with others offline.

Before you begin

This action is available to users who have permission to edit responses within a disclosure, including Assignees, Contributors, Disclosure Owners, and System Administrators. Users who have permission to view responses can download the template but cannot upload changes.

Note: The csv template allows you to update the Response summary and Methodology fields.

About this task

Uploading responses using a template allows you to download a list of questions that you have permission to view within a disclosure, enter responses offline via the csv template, and upload back the completed template to update responses in bulk. Each row in the template corresponds to a specific question in the disclosure, so responses are applied in the correct place. Before responses are updated, the system checks your file for any issues, allowing you to fix errors before continuing.

Procedure

  1. From the disclosure you want to update, click Actions > Upload responses.
  2. Click Download template to export a csv file of the questions you have permission to view.
Tip: Do not change the structure of the file or remove any columns.
  3. In the Response summary column of the template, enter the text you want to upload.
    • To remove an existing response, put [NULL].
    • To keep the existing response, set the cell blank to skip the question during import.
  4. Optional: Add details of how you formulated the response in the Methodology column.
  5. Save your file.
  6. Return to the disclosure and click Actions > Upload responses.
  7. Upload your completed template.
  8. Review the validation results.
The system validates your file and displays a table of responses ready for upload. Click a Question Code to preview the question alongside the content you are uploading.
  9. If there are issues, click See more to investigate.
An error bar shows the number of errors. Click Cancel import to return to the upload screen and reupload your file. The Import button remains disabled until all errors are resolved.
  10. Once there are no errors, click Import.

Results

After a successful upload, your responses are updated in the respective questions and your upload action registers in the history log.

If the upload does not succeed, no responses are changed.

What to do next

After uploading your responses, you can review your work and make sure everything is correct before you mark it as Ready for Review for the next user in the workflow to act on. See Reviewing a disclosure.
