Account Setup and Data Load - FAQ

Question: You have two account styles that have the same data capture fields — can you load data for both account styles in the same data loading file?

Answer: No. Currently the data loading process validates that only one account style is present in the file so the file fails if you try to load data for multiple account styles by using the same upload file.

Question: What happens to a record when you overwrite it or try to update it?

Answer: When you update an existing record, you always overwrite the entry in the platform with the data from your file. As a result, any attachments or notes that are linked to the updated record are overwritten. If you are concerned about losing any supporting information such as attachments or notes, remove the relevant records from the template and update the records manually by using the user interface.

Question: Why are some fields not available in the Account Setup and Data Load report even though the fields are displayed in the records grid and in the preview panel?

Answer: Calculated fields that are derived by rules are locked and hidden in data entry screens and report templates. The fields are intentionally hidden because they are always derived by the input fields per the rule. For example, if electricity consumption kWh is determined by multiplying the quantity field by the unit of measure conversion, only quantity and unit of measure are available as input fields on both the manual data entry screen and in the Account Setup and Data Load report.

Question: Why are several lines in the report template blank except for organization and location?

Answer: When you run the Account Setup and Data Loading report, you specify the report criteria to apply to the template. You can choose to include locations with or without records. The option allows you to add records to existing accounts and to create an account and records for locations where the account does not already exist. When you also select the default option of all locations in the report criteria, the template includes rows for locations that do not have an existing account.
