Archiving a disclosure

Archive a disclosure to preserve it as a final, read-only record that captures the disclosure exactly as it exists at a specific point in time.

About this task

Archiving is used when a disclosure is complete and no longer needs to be edited or worked on. After a disclosure is archived, its questions, responses, and assignments remain unchanged for future reference, reporting, or audit purposes.

Archive a disclosure when a reporting cycle is complete, responses are finalized and approved, or you need to retain a consistent historical version of the disclosure.

Important: Archiving is irreversible. Only archive a disclosure when you are confident that no further updates are required.

Procedure

  1. In Sustainability Reporting Manager, open the disclosure you want to archive.
  2. Confirm that the disclosure is in Active status.
    The Archive disclosure action is only available for Active disclosures.
  3. From the top of the disclosure page, click Actions and select Archive disclosure.
  4. Confirm that you understand the action cannot be undone, and click Archive.

Results

After a disclosure is archived, it becomes read-only. No edits or workflow actions are possible, and all questions and responses are preserved as they were at the time of archiving. Updates to framework questions no longer affect the disclosure. The disclosure remains accessible to users who already have permission.

Although archived disclosures cannot be edited, you can still create an editable copy based on them. Copying an archived disclosure might result in loss of data if the underlying questions have changed significantly since the disclosure was archived, because the copy uses the latest version of the framework questions.
