Review frequently asked questions to find out more about using the Setup Programs and Action Plans report template in IBM® Envizi ESG Suite.

Question: What is the purpose of the bulk upload feature for programs and program action plans?

Answer: The bulk upload feature enables users to efficiently create, update, or extract programs and program action plans by using a structured report template. The template streamlines data management and supports large-scale configuration changes.

Question: How do I create a new program or action plan by using the template?

Answer: To create a program, leave the Program Link field blank and enter a unique name in the Program field. To create an action plan, leave the Action Plan Link field blank and enter a unique name in the Action Plan field. Ensure that you enter values in all the required fields and that the values match any configured drop-down lists.

Question: What are common validation errors and how can I avoid them?

Answer: The following list outlines common errors:
  • Missing or invalid organization names, which causes full file failure.
  • Duplicate program or action plan names
  • Invalid drop-down list values for custom fields
  • Attempting to add action plans to simple program types.
To avoid errors, use the extracted report as your upload template and validate all entries before you upload the template.

Question: How can I monitor the status of my bulk upload?

Answer: After you upload your file, use the following steps:
  • Go to Manage > Files Processed - Accounts & Setup.
  • Review the status and any error messages.
  • Correct issues and reupload if necessary.

Question: Can I use the same template to update existing programs and action plans?

Answer: Yes. Use the following steps to update existing programs or action plans:
  • To update or retain an existing program, retain the existing Program Link value and modify the other program-related fields as needed.
  • To update or retain an existing program and action plan, retain both the existing Program and Action Plan Link values and modify the other related fields as needed.
  • Leaving both links populated enables updates to both program and action plan data simultaneously.
