Administering surveys

A survey administrator can create copies of surveys, lock surveys, and delete survey responses.

Deleting survey responses

To delete a survey response, complete these steps:
  1. On the main menu, click Manage > Surveys.
  2. On the Surveys grid, select a survey and Actions > Responses.
  3. Select one or more responses and click Actions > Delete Survey Response.
Issues that are linked to the survey responses are also deleted.
Note: Do not delete issues that are associated with surveys. When you delete an issue, you still must delete the survey responses. Deleting an issue does not delete survey responses.

Viewing an audit history

A survey administrator can view a history of prior responses in each survey response. For example, if a respondent updates the question What percentage of your organization's consumed energy is renewable? from 0.3 to 0.5, the change is displayed as a row in the Survey Responses Audit History grid.

To view an audit history, complete these steps:
  1. On the main menu, click Manage > Surveys.
  2. On the Surveys grid, select a survey, and click Actions > Responses.
  3. Select a response and click Actions > Audit History.
  4. Export the audit history to an external file, if required.

Modifying a survey

A survey administrator can change the due date of the survey from the related issue.

To change the due date, complete these steps:
  1. On the main menu, click Monitor > All Issues.
  2. On the Issues grid, filter the grid to show issues of type Survey Data Collection or Survey Portal Surveys.
  3. Select one or more issues in the issues grid and click Actions > Change Issue(s) Due Date.
  4. Select a new due date and click Save.

Creating a copy of a survey

A survey administrator can create a copy of the survey, and change the name and dates so that the survey can be reused for a similar purpose. The questions are copied to the new survey and not the responses. A survey name must not contain special characters.

To create a copy of a survey, complete these steps:
  1. On the main menu, click Admin > Surveys.
  2. On the Surveys grid, select a survey, and click Actions > Create a copy of this Survey.
  3. Click Yes to confirm that you want to create a copy of the survey.

Locking survey responses

A survey administrator can configure the survey capture policy so that only a Survey Administrator can amend survey responses under certain conditions, for example, when the survey status is set to Resolved.

To enable survey response locking, complete the following steps:
  1. On the main menu, click Admin > Survey Capture Settings.
  2. On the Edit Survey Locking Settings page, for Would you like to enable survey response locking?, select Yes.
  3. For Lock survey response if status is and Who can amend Locked Survey Responses?, select the required options.
