App for Microsoft Teams alert channel (public preview)

You can create an App for Microsoft Teams alert channel to send real-time alert notifications from Instana to that Microsoft Teams channel.

Installation prerequisites

Instana currently supports only SaaS deployments. To proceed with installation, make sure that you have an active login session in Instana.

Downloading the IBM Instana Microsoft Teams App package

Note: The IBM Instana Microsoft Teams app is currently under Microsoft’s certification review. In the meantime, you can manually install the app by downloading the installation package from a public GitHub repository.

To proceed, download the ZIP file from the following link and upload it to your Microsoft Teams Admin Center: Download IBM_Instana_MS_Teams_App.zip

After downloading the package, upload the app package to your Microsoft Teams Admin Center to make it available for your organization. For more information, see Upload a custom app by using Teams admin center.

Note: When the upload is completed, users in your organization can add the IBM Instana Microsoft Teams App to their Teams channels and continue with alert channel configuration.

Creating an app for Microsoft Teams alert channel

To create an app for Microsoft Teams alert channel, complete the following steps:

  1. From the navigation menu in the Instana UI, click Settings.

  2. On the Global settings tab, in the Events & alerts section, click Alert channels.

  3. Click Add alert channel.

  4. Select App of Microsoft Teams from the list.

  5. Enter an app name for the Microsoft Teams alert channel.

  6. Obtain the channel link:

    1. Go to Microsoft Teams, and select Chat from the navigation menu.
    2. Click Teams and channels, and find the channel that you want to connect with Instana.
    3. Click the ellipsis button ..., and select Copy link.
  7. Paste the channel link in the Channel link field. You can see the Microsoft Teams channel name in the following Channel name field. Check and confirm that the channel information that you entered is correct.

  8. Click Create.

You can find your alert channel in the Alert channels section in the Instana UI.

Adding IBM Instana app to the Microsoft Teams channel integrations

Note: You need to perform this integration for public channels in Microsoft Teams.
  1. Go to Microsoft Teams, and select Apps from the navigation menu.

  2. Search and add IBM Instana Microsoft Teams App. When adding the app, you must agree to the privacy policy, terms of use, and permissions.

  3. Open the IBM Instana Microsoft Teams App. From the Channels section, select the Microsoft Teams channel that you chose to connect. You can use the search bar to find the channel quickly.

  4. Click Go to use the app at the channel. You are redirected to the channel page, where you can see a draft post with the IBM Instana Microsoft Teams App link.

  5. Click Post to send the message to the channel. The app is added to the channel.

Configuring alerts in the Instana UI

You can configure your existing or new alerts with the app for Microsoft Teams alert channel. For more information, see Configuring and managing alerts. All alert events automatically appear in your selected Microsoft Teams channel.

Extended event details in Microsoft Teams

In the Microsoft Teams event message, you can click the Show/Hide Details and Show/Hide Custom Payloads to view or hide the information as you want.

Synchronization of Microsoft Teams and Instana messages

Messages are synchronized between Instana and Microsoft Teams. Messages that are added to an incident thread in Microsoft Teams appear in the Summary and notes with AI section of the Instana UI. Similarly, notes that are added in the Summary and notes with AI section of the Instana UI appear in the related Microsoft Teams incident thread.

In addition, the incident and note summaries that are generated in the Summary and notes with AI section of the Instana UI also appear in the related Microsoft Teams incident thread.

Edits and deletions of notes are also synchronized between Microsoft Teams and Instana. When a note is edited in Microsoft Teams, the change is reflected in Instana, and vice versa. Similarly, when a note is deleted from either Microsoft Teams or Instana, it is also removed from the other platform to keep both systems consistent.

Note: Currently, this message synchronization feature between Microsoft Teams and Instana is only applicable for Instana incidents.

Closing event from Microsoft Teams

To close an incident, issue, or change from the Microsoft Teams, complete the following steps:

  1. Select an open incident, issue, or change in Microsoft Teams.

  2. Click Close Incident, Close Issue, or Close Monitoring Issues depending on your event type.

  3. Enter a reason for closure in the closure notes input box, and then click Submit.

The event message in the Microsoft Teams channel is updated from an open event to a manually closed event. You can see the status change, the duration of the event, and manual close information as shown in the following image:

The event status in the Instana UI is updated to Manually Closed as shown in the following image:

Privacy policy

The privacy policy outlines the types of data that is collected and their purposes.

Data collection practices

When you install and use the IBM Instana app for Microsoft Teams, the following types of information are collected:

  • Microsoft Teams Information: Team name, team ID, and channel details to enable posting of notifications and interactions.
  • User Information: Microsoft Teams usernames to generate actions and maintain notes of interactions.
  • Message Content: Limited content of messages or events that you explicitly interact with or authorize the application to access to alert or provide interactive functions.

Usage of your information

The collected details are used for the following purposes:

  • Provide, maintain, and improve integration features.
  • Deliver relevant notifications and updates to your Microsoft Teams channels according to the configuration.
  • Support troubleshooting, debugging, and technical assistance upon request.
  • Comply with applicable laws and regulations.
