Managing preparation activities
Preparation activities are tasks that are usually carried out either before assets are put into operation or in preparation for a plant turnaround. The tasks are often carried out as part of a phased process. Effective planning of these activities can help to reduce unplanned shutdowns and to avoid costly overruns that are associated with planned turnarounds.
About this task
When you define preparation activities, the activities that you specify depend on the type of project that is essential, such as a modification project. The activities can also apply to a phase of work maintenance, such as the execution of a planned turnaround phase. The preparation activities can be associated either with an existing work order or with a new work order. You associate work orders with preparation activities, and specify the group that is carrying out the activities. You can then search for those types of work orders to review the preparation activities and to determine the level of completion.
If the preparation activities revolve around a critical phase in the preparation process, you can specify the level of priority. Additionally, you must provide the reasons for the decision to undertake a preparation activity separately from the work order process.
You can specify the level of preparedness of work packages to better manage the progress of the work. For example, you can specify the percentage of work that is complete.
Actions provide a checklist of activities. For each action, the person or the person group who completed the action indicates that the action is complete. The person or the person group also provides comments about the execution of the action that is associated with the preparation activity.
You can use the Audit and Survey application to audit the preparation activities, especially if the project is critical, and an audit must be done regularly. You might want to conduct an audit if you are planning to shut down an oil platform for an extended period.
Procedure
- Optional: If an audit is associated with the preparation activities, use the Audit and Survey application to create the audit.
- In the People application, assign qualified, active personnel to be responsible for and to complete the specified preparation activities.
- In the Person Groups application, create a team, such as the Maintenance Group, to complete the preparation activities.
- In the Standard Actions or Standard Action Groups applications, define the actions or the groups of actions to associate with the preparation activities.
- In the Work Order Tracking application, select a work order or create a work order.
- On the Preparation Activities tab of the Details tab, specify the details for the preparation activities.
- Specify the actions or the groups of actions that are associated with the preparation activities.
- For each action or group of actions, specify the person or the person group who is to complete the preparation activities or who completed the activities.
- Save the record.
