Suspending permits to work
When an emergency arises that requires a quick response at a work site, you can suspend all active permits to work with a single action. This action eliminates the need to change the status of individual permits to work, saving time and potentially reducing the impact of hazardous conditions. When you suspend permits to work, you also notify personnel that work activities for those permits to work are suspended.
Before you begin
In the People application, create person records for personnel, including email addresses.
In the Roles application, create a role record. You can create a role record for any person who is associated with the permit to work. For example, the role of REQUESTOR resolves to the email address that is specified for each requester on a permit to work record.
In the Communication Templates application, create a template to standardize frequently used email communications. In the template, specify the role that was added to the Roles application for permits to work. You can also use the product-provided Communication Template.
About this task
To be suspended, a permit to work must be in Active status.
Procedure
- From the List tab of the Permit to Work application, select Suspend Active Permits from the More Actions menu.
- In the Suspend Active Permits dialog box, add the reason why the permits to work are suspended.
- Specify the site that is associated with the permits to work that need to be suspended, and click List Impacted Permits.
- Select Send Communication to notify personnel of the suspension of Active permits to work at their location.
- Click OK to save the record. The suspension ID and reason for suspension is added to each of the permits to work.
Example
For example, you can suspend 10 permits to work at a specific site. Each permit to work might have a different person who is specified as the requester. REQUESTOR is set up as a role in the Roles application, and referenced in the Communication Templates application. When a communication is sent, the system resolves the ROLE to the DATA (email address) for each requester. The email is sent to the 10 requester of the permits to work.
