Creating person records

You can create and maintain personal and official information about people in your organization, such as users, asset owners, supervisors, and individuals who receive workflow notifications. You can also specify training and certification details, and you can change the availability of people.

About this task

You create person records for any individual who might appear on another record. However, you must create a person record for each individual who has a labor record or a user record.

Procedure

  1. In the People application, click New Person.
  2. In the Person field, type a unique identifier.
  3. Specify employee information and workplace-related information.
    If you change the First Name field or Last Name field, these changes overwrite the nickname in the Display Name field.
  4. Optional: Type a nickname in the Display Name field.
  5. Optional: Specify workflow and work order information, important dates, and procurement card details.
  6. Optional: On the Details tab, specify contact information, authorization privileges, authority levels, and isolation specialization.
  7. Optional: On the Certificates tab, click New Row.
  8. Optional: On the Training tab, specify the training courses relevant to this person.
  9. Specify the permit or certificate type that is associated with the person. The status of the permit or certificate type must be Active, and the Personal checkbox that is associated with the record must be selected.
  10. If a certificate has been awarded, select the Certificate Acquired checkbox. Specify the date of certification, and for how long the certificate is valid.
  11. Specify the certification that is associated with the person.
  12. Click Save Person.
