Managing public filters
In IBM® MRO Inventory Optimization, you can create and save filters and also choose whether they are public for all your users to see, or private for just your own personal use and preferences.
Private verses public filters
A private filter is only available to you if you are the user that created it.
A public filter is shared, and available for all other IBM MRO Inventory Optimization users who are in your organization to see and use.
Creating public filters
For detailed instructions on saving filters see Filter Management.
To make a filter public, when you save a filter, next to Filter Name, select Share with Other Users. When you select the option, your filter is saved as a public filter.
Important: You must save your public filter with a unique name that is not already used, otherwise, the following behaviors are observed, depending on your role:
- Regular User
- If you are a regular user attempting to create a new public filter with the same name as an existing public filter then you receive an error message and the filter is not be saved. You must then specify a different name for the filter.
- Administrator
- If you are an administrator attempting to create a new public filter with the same name as an existing public filter then the older filter will be overwritten with the settings of your new filter.
Viewing and using public filters
To view and load any available public filter:
- Open the Saved Filters window.
- Click Add Filter > Load A Saved Filter.
- The Saved Filters window contains the list of all filters available to you.
- Private filters are located at the top of the list, followed by the public filters.
- Each public filter has its respective Share With Other Users checkbox checked and along with the name of the user who created it.
- Select a filter.
- When the filter is highlighted, click Load.
The parameters of the chosen filter will appear in the Filter Description field and be applied to the items in the Grid View.
Most used filters
When the Filter drop-down menu displays the three most popular filters that you have used and saved. The Most Used Filters list contains both your private and public filters.
Modifying and saving public filters
If you are a regular user, the Save Filters to Filter option is disabled. Regular users can modify a public filter and save it privately, but cannot update update the filter.
If you are not an administrator and you modify a public filter, your changes are saved as a new private filter.
Deleting public filters
If you are a regular user, you cannot cannot delete a public filter. Only IBM MRO Inventory Optimization administrators can delete public filters.
Administrators and public filters
- Administrators have full permissions regarding public filters adn can modify, update and delete any or all public filters as necessary.
For an Administrator to modify a public filter:
- Click to generate the Filters drop-down menu.
- Select Load Saved Filters.
- Select the desired filter.
- Click Load.
- Modify the filter as necessary by using the option Add Item Filter>Modify Item Filter.
- Click the Filter > Save Filters to Filter .
If you are an administrator, you can delete public filters by using the View Saved Filters window, as follows:
- Click to generate the Filters drop-down menu.
- Select View Saved Filters.
- Select the desired filter and click Delete.
