Managing recipients

You can manage default recipients for workflow notifications.

Procedure

  1. Run a search using any combination of rules, roles, and users to define search criteria.
    Note: A search can be run without selecting a user, but a rule and a role must be selected.
  2. Select an action:
    • Add - Use the Select user field to choose the user that needs to be added to the default recipients list.
    • Reset to global default recipients - Removes a user's customized recipient list.
  3. Review any warnings or errors related to your changes.
    If any warnings or errors exist, they are noted at this step.
  4. Review your changes and click Save.

Results

The recipient list is updated with your changes.

What to do next

Additional information:

  • If a Global default recipient list exists, this list is displayed as the default recipient list. You can customize this list.
  • If a Global authorized recipient list exists, only users from this list can be selected as users in the default recipient list.
  • If no Global default recipient list exists, then the default recipient list is empty by default. You can customize this list.
  • The default recipient list can be left blank, meaning that you do not have to assign a recipient to the list.
  • When the default recipient list is left blank, the Global recipient list is used by default.
  • The status of Missing recipient is applied when both Global default and default recipient lists are empty. The item does not continue through workflow until a recipient is assigned to one of the lists.
