Identifying inactive or outdated content

Review archived artifacts and spaces to identify content that might be outdated or no longer needed.

About this task

To maintain an organized workspace and optimize storage, regularly review your spaces and artifacts to identify inactive or outdated content that can be archived or deleted.

Procedure

  • Get a detailed view of all spaces and artifacts, and their current status. To see all artifacts and spaces and review the archived elements, do the following steps:
    1. In the Library > Spaces tab, click Show Space Hierarchy Show Space Hierarchy button.
    2. Click Show Details to view all your spaces with a summary of their contents and last activity date.
    3. To review archived artifacts and spaces in more detail, click Export Summary of Spaces.

      The Microsoft Excel export file lists all archived artifacts (subspaces, blueprints, decisions, policies, and process apps) within active spaces in the Active Spaces tab, and all archived spaces in the Archived Spaces tab. You can easily sort by last activity date to identify candidates for deletion.

      Tip: The artifact counts for each archived space (such as blueprints and decisions) include only artifacts that were explicitly archived. Artifacts that were archived automatically when their parent space was archived are not included in these counts.
  • Review activity levels for specific spaces and clean up the less active items. For example, you might decide to archive or delete a space if this space has been inactive for more than a year.

  • Review archived and expired artifacts from the Admin page.
    1. Open the Admin > Artifact management tab.
    2. Select the Archived view to see all archived artifacts.
