Create draft items from a file
The Draft Items From File option allows users to create draft records from a properly configured CSV file populated with fictitious item records.
This allows the system to calculate values based on completely “made-up”data or potential scenarios.
The Draft Items from Existing option may be used from within either the Item Module or the Draft Item module.
Draft Item Template File
In order to facilitate the production of a properly configured CSV users may access a Draft Item Template file from IBM® Maximo Inventory Optimization. This template file is a CSV file containing the column headers that are necessary for the draft item file. The template file may be accessed from either the Item Grid View or the Draft Item Grid View.
To download the draft item template file:
- From the actions menu, click Download > Draft Items from the Templates.
- The browser will automatically download the CSV Draft Item template.
- The downloaded file can be opened in any spreadsheet program and may be amended with new draft item records and saved with an appropriate filename.
Notes:
- The file must be saved in CSV format and the CSV file must be correctly populated with the desired draft item records, i.e.each field should contain the appropriate values and mandatory fields must contain data.
- The following issues may count as errors:
- A non-numeric value in a numeric field.
- All records where one or more columns is not recognized.
- A value supplied is beyond valid limits.
- The Business Impact, Moving Code, Forecast Methods, etc. do not correspond to a valid list value.
- Errors will result in the entire file being rejected.
How to Create Draft Items from File
About this task
Whether creating new draft items from the Item module or the Draft Item module, the system behavior and steps will be the same.
- From the actions menu, click Create Draft Items.
- On the Create Draft Items window, select Draft Items From File.
- Enter a batch name. The batch name must be unique.
- Select the Draft Item location. The location options are:
- Based on Existing Or Location Rules or Allocate From...
- If Based on Existing Or Location Rules is selected, items are created using the contents of the file, unless the location provided does not exist in the system. If it doesn't exist, the system will overwrite the location based on existing location rules.
- If the Allocate From.. option is selected, the dropdown box lists all existing locations. A location must be selected, which automatically sets the location of all items in the file to this value. Any existing values will be overwritten with the new location.
- If the 'Default Location' is available and selected, then the location for the items will be set to blank. The default location forms part of the location rules, it is used to catch any record which is not part of the defined locations.
- Upload a valid CSV file by either:
- Dragging and dropping the file on to the upload area of the window
- Clicking the upload area, browsing for the file and selecting it for upload. Once uploaded, the file will be parsed for correctness. A progress indicator will be displayed.
- The file's format will be checked to ensure that it is the proper format (.csv).
- The data in each record (row) and in each field (cell) will be checked for validity.
- Once completed, the Results dialog will display the results of the file parser:
- The Results dialog displays the total count of records parsed, the count of records that have been successfully parsed, and the count of those records that contained errors.
- If errors are caught then those records will be ignored, and the rest which are correct, will create new Draft Items.
- If there's any duplicate columns, the file upload shows an error saying that the file has duplicate columns.
- If you correct any errors on the file, the file must be uploaded again.
- If the file has been successfully parsed, click Save.
- A confirmation will be presented indicating how many Draft Items will be created. Click Confirm.
- Once the new draft items have been confirmed the user will be redirected to the Grid View of the Draft Items module where the newly created draft items are listed.
- The newly created draft items will be identical in structure to normal item records, except for the Batch name field which is manually assigned by the user.
