Creating Contracts from Requests

You can create a request with the contract type to create a contract. When you create a contract from a request, the Contract Request Form is used. This contract is then available in Emptoris® Contract Management.

Before you begin

Ensure that the following prerequisites are met before you create a contract from a request in Emptoris Program Management.
  • You must have the permission to create requests in Emptoris Program Management.
  • You must have the permission to create contracts in Emptoris Contract Management.
  • The custom attributes in Emptoris Program Management are mapped to contract terms in Emptoris Contract Management.
  • The request form is customized to include custom attributes.

Procedure

To create a contract from a request, complete the following steps:

  1. From the Request Management tab, click Requests > Create.
  2. Select the type of request as Contract from the Type list.
  3. Enter the Request Details.
  4. In the Contract Details section, enter the following details:
    • Contract Name: Enter the name of the contract.
    • Contract Type: Select the type of contract that you want to create.
    • Contract Template: Select the contract template. The contract templates that are displayed in the search page are based on the type of contract that is selected.
    • Language Source: Displays only the Authored Contract because other contracts are not supported for contract creation from Emptoris Program Management.
    • Contract Title: Enter the contract title. The contract template name is the default contract title that is displayed on the page.
    • Currency: Select the currency for the contract.
    Note: The Contract Name, Contract Type, and Contract Template attributes are mandatory to create a contract from a request.
  5. In the Contract Dates section, enter the following details:
    • Effective Start Date
    • Effective End Date
    • Execution Date
  6. In the Contract Parties section, enter the following details:
    • Owning Organization: Select the name of the organization that owns the contract.
    • Primary Internal Party: Select the organization as a primary internal party for the contract.
    • Primary Internal Contact: Select a user or a contact as a primary internal contact for the contract.
    • Primary External Party: Select the supplier as a primary external party for the contract. The supplier search list contains master suppliers or the suppliers in Emptoris Contract Management.
    • Primary External Contact: Select a user or a contact as a primary external contact for the contract. The contact search list contains internal users, internal contacts, external users, external contacts, and contacts that are enabled in Emptoris Contract Management.
  7. In the Contract Status section, select the contract Sub Status.
  8. Click Save.
  9. Click Edit if you want to update the contract details before creating the contract in Emptoris Contract Management.
  10. Click Create Contract to create a contract in Emptoris Contract Management.

What to do next

After the contract is created in Emptoris Contract Management, you cannot update the contract in Emptoris Program Management. To update the contract, click Go To Contract under the Related Data section of the request. The Contract Editor page is displayed in the Emptoris Contract Management application.

You can also view the created contract by clicking the Contract Link hyperlink from the Requests list. If the Contract Link column is not available in the Request table, you can customize the Request table by navigating to Options > Customize table, and add the Contract Link column.
