Declaring Lotus Notes documents or e-mail messages

To declare a Lotus® Notes® message or attached document as a record, the message or attached document must belong to an item type that has been enabled by Content Manager Records Enabler. This item type is referred to as an eRecords-enabled item type.

Content Manager Records Enabler support includes the auto-capturing of Lotus Notes document/e-mail information such as the author, subject, addressees, sent or received dates; and saves it in the declared record.

To declare Lotus Notes documents or e-mail messages:
Depending on how your administrator configured your system, you can declare Lotus Notes documents, e-mail messages, or attachments as records two ways:
Option Description
Declaring records in a Folder or View window With Content Manager Records Enabler support implemented at the Lotus Notes client application level, all Lotus Notes applications have access to a new Actions item sequence (Actions > Records > Declare Record) in a Folder or View window. Alternatively, you can select an e-mail message and click the Records > Declare Record button sequence from the smart icon bar.
Declaring records in a Document window With Content Manager Records Enabler support embedded in a Lotus Notes database design template, an Action button sequence (Actions > Records > Declare Record) is available on the smart icon bar in a Document window. Alternatively, you can select an e-mail message and click the Records > Declare Record button sequence from the smart icon bar.
