Form actions

The actions at the top of a form represent the different actions that you can take with a record. Depending on the form, such actions might include creating drafts, saving the data, applying templates, or activating records.

Common actions

Many actions are shown across multiple applications. These actions include:

Action Description
Activate Routes the record for approval by every member on the distribution list. The status of the record changes to Review In Progress. Upon approval by every member on the distribution list, the status of the record changes to Active or Approved. Similar to the Submit for Review action.
Apply Record Copies the contents of the selected record to the current template.
Apply Template Copies the contents of the selected template to the current record.
Close Out Restricts the record from further edits. The status of the record changes to Completed. The close-out comments are stored in the Close-Out tab. The last comment is also stored in the General tab.
Complete Restricts the record from further edits. The status of the record changes to Completed. If a lease abstract record was completed, a real estate lease record is created in Draft status.
Continue Applies the data from a secondary record to the main record.
Copy (Record) Creates a copy of the selected record. The status of the copy is Draft.
Copy (Template) Creates a copy of the selected template. The status of the copy is Template.
Create Saves the initial data that you entered in the new record. The status of the record changes to Active.
Create Draft Saves the initial data that you entered in the new record. The status of the record changes to Draft.
Create Template Saves the initial data that you entered in the new template. The status of the template changes to Template.
Delete Removes the selected record.
Execute Routes the record for approval by every member on the distribution list. The status of the record changes to Review In Progress. Upon approval by every member on the distribution list, the status of the record changes to Active or Approved. Similar to the Activate action.
Issue Routes the record for approval by every member on the distribution list. The status of the record changes to Review In Progress. Upon approval by every member on the distribution list, the status of the record changes to Issued. Similar to the Activate action.
More Shows more actions that depend on the record (or template) and its status.
Next Call Saves the initial data that you entered in the form, and clears the form for the next phone call, fax, or mail communication.
Process Begins the process, such as an export, import, or record-generating process.
Revise Begins the process of editing the record that has the status of Active. You can select the type of revision, specify the reason for the changes, then continue to edit the record. The status of the record changes to Revision in Progress.
Retire Restricts the record from further edits. The status of the record changes to Retired. Typically, you can unretire the record. Similar to the Complete action.
Save Saves any changes that you made in the record (or template).
Save & Close Saves any changes that you made in the record (or template), and closes the record (or template).
Submit or Submit for Review Routes the record for approval by every member on the distribution list. The status of the record changes to Review In Progress. Upon approval by every member on the distribution list, the status of the record changes to Approved. Similar to the Activate action.
Unretire Reopens the record that has a status of Retired. The status of the record changes to Revision in Progress.
X (Cancel) Cancels any changes that you made in the record (or template), and closes the record (or template).

Contract actions

Some actions are shown specifically within applications that deal with the leased and owned property contract processes. These actions include:

Action Description
Create Draft External Saves the initial data that you entered in the new record. The status of the record changes to Draft. This draft is used to transmit data by using Open Standards Consortium for Real Estate (OSCRE) .xml files.
Create Schedules Adds the payment schedule to the abstract or contract record, and clears the Generate Payment Schedule form so that you can specify another payment schedule.
Issue Resolved Restricts the lease abstract issue record from further edits after the issue is reviewed by the customer contact role and abstractor. The status of the record changes to Resolved. Similar to the Complete action.
Review Assumptions Opens a form where you begin the process of reviewing or editing the likely term or assumptions of a real estate or asset lease record.
Sell Restricts the owned property agreement record from further edits. The status of the record changes to Sold. You can revise the record. Similar to the Retire action.
Send Opens a form where you specify the comment, source system, and target system to transmit data by using OSCRE .xml files.
Send to Abstractor Sends the lease abstract issue record to the abstractor after the issue is reviewed by the customer contact role. Based on the customer review, the abstractor might revise the lease abstract.
Start Abstract Begins the process of abstracting a lease that is transmitted by using OSCRE .xml files. The status of the record changes to In Progress.
Stop Submits the stop payments record. The status of the record changes to Review In Progress. After approval, the status of the stop payments record changes to Issued. After approval, the status of each selected payment line item record changes to Stopped. Similar to the Issue action and Void action.
Submit (for OSCRE) Sends the lease abstract record to another system by using OSCRE .xml files. The status of the record changes to Sent.
Submit to Customer Submits the lease abstract issue record to the customer contact role for review.
Void Submits the void payments record. The status of the record changes to Review In Progress. After approval, the status of the void payments record changes to Issued. After approval, the status of each selected payment line item record changes to Void. Similar to the Issue action and Stop action.

Reservation actions

Some actions are shown specifically within applications that deal with the reservation and reservable resource processes. These actions include:

Action Description
Add Another Room Brings you to the room search page where you can select another room to reserve.
Book Selected Rooms Tentatively books the selected rooms.
Cancel Reservation Removes the selected reservation record and its event from the calendar.
Cancel Series Removes the selected reservation record and its recurring series from the calendar.
Clear Recurrence Removes the recurring pattern for the reservation.
New Food Order Adds another food order to the reservation.
Return to Reservation Summary Brings you to the booked rooms page where you can view the details of each room.
Save Equipment Order Saves any changes that you made in the equipment order.
Save Food Order Saves any changes that you made in the food order.
Save Recurrence Saves any changes that you made in the recurring pattern for the reservation.
Submit (for Reservations) Begins the process of reserving resources. After you accept the charges, if any, the application permanently books the rooms and any equipment for the selected reservation time. The application also creates work tasks for any room layout changes and equipment service orders, and creates purchase orders for any food service orders.
