Viewing content

eDiscovery Manager provides two ways to view content. Previewing allows you to view content in your browser. It offers the advantage of highlighting search terms in email, but it does not always display content exactly as it was created. Viewing allows you to view content in an application that handles the specific type of data. Viewing offers the advantage of displaying the content exactly as the content was created, but it does not highlight search terms in email.

You can preview or view content in the search results list or in the folder contents list.

Your web browser must allow pop-up windows if you want to be able to see a full-screen preview of content or if you want IBM® Lotus® iNotes® to be able to display content. Be sure to disable the pop-up blocker on your web browser.

Important: Your ability to perform tasks depends on the roles that were assigned to you. Only icons and menu options for tasks that are associated with your roles are visible to you. Be aware that this topic might include information that is not relevant to your roles.
To preview content
To display a partial-screen preview of an item, click the item in the search results or the folder contents. The item is displayed in the Preview pane, under the search results list or the folder contents list.

To display a full-screen preview of an item, double-click the item. The item is displayed in a new browser window. You can easily view the previous and next items in the result set with the full screen preview.

To display an email attachment, click the attachment icon. If multiple attachments exist, select the name of the attachment that you want to view.

Highlighting in email: Search terms are highlighted if they appear in the From, Recipients, Subject, or Content fields of email, or if the search terms appear in email attachment names or in the email attachments themselves. Search terms are not highlighted if you used advanced searching (fuzzy search, same-sentence search, or stemmed search).
Unsupported features of email clients: Preview provides a text-only HTML representation of Lotus Notes® content and Microsoft Outlook content. Features of these email clients that are not supported in preview mode include:
  • Embedded applets, embedded OLE, and embedded forms.
  • Microsoft Outlook embedded pictures and other embedded items. (These are treated as attachments.)
  • Lotus Notes script and buttons. (Preview cannot display buttons, but it displays the button text.)
To view content
In the Native View column of the search results or folder contents, click the View this content with... icon next to the item that you want to view. For example, PDF files have a View this content with Adobe Reader icon in the Native View column. Assuming that the appropriate application is installed on your system, clicking this icon opens that application and displays the content.
For Lotus Notes and Lotus iNotes users:
  • Search terms are not highlighted when viewing content in the Lotus Notes client or in the Lotus iNotes client.
  • When you view content in Lotus Notes, an additional browser window is opened. This window is not closed when you close the Lotus Notes client. You must close the additional browser window manually.
For Microsoft Outlook users:
  • Search terms are not highlighted when viewing content by using Microsoft Outlook.
  • Users can view images that are stored as attachments and that are referenced within the email body. Users cannot view images that are directly embedded in the email body.

You can change the columns that are displayed in the Search Results pane and the Folder Contents pane by clicking the Change columns shown icon. In the Results Format window, select the columns that you want to see and clear the columns that you do not want to see. You can also change the display order of the columns.
