IBM Sametime design
Today is the last day for our fabulous intern, Linda Le, who is heading back to school for a Master's degree in Human-Computer Interaction from Carnegie Mellon. Linda's been working with the Sametime design team for the past six months, and has been a terrifically hard worker and a great source for creative ideas.

Sametime 8.5.2 introduced an End Meeting button for the room owner:
Right now, when you click that button, it kicks out everyone *but you*. Is this the behavior you expect? It allows you to run back-to-back meetings in the same room... but it does mean you have to take an extra step to leave the room yourself (i.e., close the window).

As many of you know, Sametime 8.5.2 supports widgets and recognized names and numbers (live text). We have some Help about these features in the Sametime Standard and Sametime Entry online Help. But, we wanted you to know that we've now posted to the Sametime wiki additional end user, power user, and administrator documentation about widgets and live text. We hope you find it useful!
Just curious, how many of you use the nested groups feature in the contact list? If so, how many groups have "subgroups" and how many levels of subgroups is the most that one of your top level groups has?

Do you use online polling in meetings? If so, I have a few questions for you:
1) How often do you use online polling? In what types of meetings?
2) Do you ever use the same question over and over again? If so, in what context?
3) Right now, our polling tools support anonymous responses only. How critical is it to you to see who entered which response?
4) Do you have need from an online meeting tool to tie multiple polling questions together, into more of a survey format?
5) Anything else you'd like to us to know about your use of polls in meetings?

Some great new features are in place for chat history in Sametime 8.5.2:
In addition, system administrators can turn off presence in the chat history window, with this preference (set in plugin_customization.ini or the managed-settings.xml):
I love using the Sametime Meetings feature that lets me take minutes during a meeting, because everyone can see what I'm typing, and it's all saved for me when I leave the room. When I flag items as meeting minutes, they are separated out in the meeting report, so I can easily see what was meeting minutes, versus just conversation in the room.
However I notice a lot of my colleagues don't use the feature -- they just type into the chat, without flagging their entries as meeting minutes, so that everything ends up being flagged as a chat entry:
How about you? Do you use this feature? If not, why not?
Meetings users -- did you know that you can easily remove content from your room? Here are some tips:
1. For a quick way to remove all content (discussion and library content) from a room, choose the Remove Room Content command from the Room Tools menu.
2. To remove just the discussion content, click the "x" in the bottom of the discussion widget (only room owners and managers have access to this). If you're on the installed client, you can still get back to the chat content later by creating a meeting report:
3. To remove all content just from the library, in the installed client, right-click anywhere in the library and choose Remove All. You'll be prompted before the content is removed.
For future releases, we're looking at giving you a choice when you end a meeting to also clear out the content. Would you like such a choice? Let me know!
Are you someone who clicks the "Show details" link in the library, when selecting a file, to find out the information about that file? If you haven't done it, here's how you get this information:
1. In the browser meetings client, select the file, click the drop-down, and click View Details:
2. In the installed meetings client, select the file, click the drop-down, and click View Details.
Or right-click the selected file and choose View Details:
This dialog shows you:
1. The actual name of the file (as opposed to the name shown in the library, as you can rename library files)
2. Who added it
3. When they added it
4. How large the file is
5. Where the slides were converted (locally or on the server) ***
6. Number of pages
Is this the information you want? Is there other information you'd like to see?
*** Ever wonder what the "slide conversion" part means? Converted locally means that the native application on your computer was used to render the slides for the meeting -- this will give you the highest fidelity slides. Converted on the server means that an application running on the Sametime server rendered the slides for the meeting. This will almost always give you lower fidelity than converting locally. So how do you control this? In the Sametime installed client, if you have the native application for the file, the file will be converted locally. If you use the Sametime browser client, the file will always be converted on the server.

With Sametime 8.5.2, we've made it easy for everyone to see who is the active speaker during a call with multiple people. In the picture below, the orange frame around Amadou Alain's picture shows that currently he is the active speaker on this call:
If multiple people are talking, each speaker's image will be framed.

I found out yesterday that a co-worker of mine wasn't aware of some of the nifty things you can do when receiving a file in a Sametime chat. I imagine that might be true for others, as well, so here's a quick note about some mini-features you can use.
1. You can choose another location for the file before you receive it:

Sametime 8.5.2 now supports "widgets" and recognized names and numbers. If you have this capability, this means you can hover your mouse over an underlined name or number in chat history or an open chat window - or even in IBM Notes, such as in a Notes calendar invitation - to perform additional actions on that name or number. For example, you can click an underlined telephone number or name to select an option to start a call.

Hi, I'm Lauren, the lead end-user writer for IBM Sametime. Amy and I are going to spend the next few days covering some of the cool new features in the 8.5.2 release.
Today I wanted to tell you about using audio and video in Sametime meetings that open in a web browser.
With Sametime 8.5.2, meeting rooms that open in a web browser now have many of the same audio and video features as do meeting rooms that open in a Sametime window. This means that people who join meetings from outside your company, or people who don't have the Sametime client, can participate in audio/video calls.
If your company has these capabilities, when you are in a meeting room that opens in a web browser, you can use the call icons under the Voice and Video area of the meeting room to call in to your meeting and then perform call-related actions.
For example, here's what you might see under Voice and Video if you are the room owner or a room manager; click the Green phone icon to start the call.
And, here's what you might see after the call has
started - icons to hang up the call, put the the call on mute and so much more:
Note: The specific call icons that the meeting room owner sees depends on the call capabilities you have and whether or not you are the meeting room owner.
SUT really simplifies my work life. Here are some of the things I really love:
1) I can specify conference call numbers in my phonebook, and then have it just connect me automatically if my preferred device is my computer, or show me the passcode I need to dial if my preferred device is a hard phone. I have a lot of conference calls, so this one saves me a ton of work!
2) I can set routing rules so that my calls come in where I am, regardless of how people try to reach me. For example, I like to use my office phone when I'm in the office, but my computer softphone when I'm working at home.
3) If i need to switch devices, I can easily do that. For example, I can transfer a call to my cell or my home phone as need be (e.g., if I'm walking from one meeting room to another).
4) I can easily click someone's name in my contact list and call them when I need to talk, or turn a chat into a call if the conversation gets complicated.
5) I can use the live text widget to click any name or number in a Notes email or chat history to place a call -- no need to reach for a phone.
