Transitioning Rational Tools Administration Responsibilities
You may be an excellent Rational Tools Administrator – an asset to your organization. But you may not serve in this capacity forever. Contracts end, project requirements evolve, and you might be interested in pursuing new career opportunities.
If the tools will continue to be used by the project following your departure, you’ll need to transfer your job responsibilities to someone else in a manner that will assure the best opportunity for success.
The Ideal Replacements
The ideal Rational Tools Administrator is comfortable working on technical assignments. The candidate does not necessarily require a degree in an IT field but needs to be familiar with the environment in which the Rational Tools run, to troubleshoot issues as they arise, and resolve those issues with or without assistance.
The ideal Rational Tools Administrator provides excellent customer service. Not everyone serves in a customer facing role but nearly everyone has “customers.” A customer could be a project manager or co-worker. With that in mind, the responsiveness, attitude, and communications skills of the potential tools administrator needs to be evaluated.
The ideal candidate is inquisitive – not content to blindly follow directions but desiring to truly understand an issue and explore all options. This trait is useful when provided with problem solutions presented by Rational Support but also when given requests by the client.
The ideal candidate is persistent who is willing to act when a problem is reported or when something just doesn’t look right and research a problem while waiting for an answer from a Subject Matter Expert
The ideal candidate assumes ownership of problems from start to finish even if resolution of those problems is accomplished in areas outside of one’s area of responsibility. The candidate will keep users and project management apprised of the problem resolution status and does everything possible to achieve timely and effective resolution.
The ideal candidate is detail oriented - considering not only the grand solution but the minutia as well in design, implementation and testing.
The ideal candidate works independently – requiring little or no supervision.
Finally, the ideal candidate communicates effectively and concisely using speech and the written word.
It is quite possible that the transfer of Rational Tools Administrator responsibilities coincides with a change in how the tools are being used. For example only minimal changes to schema may be required in ClearQuest or only basic user administration is required.
You must determine from project management what specific Rational Tools responsibilities will be required following your departure and the scope of the training you will provide.
Provide a package containing soft copies of documentation for every task the new Rational Tools Administrator is expected to perform. Supplement instructions with screen shots. Rather than write to the level of knowledge of the new administrator, write as if the recipient knows little or nothing about administering the tools. This will allow your documentation to be reused, if necessary.
Conduct training sessions after the new administrator has studied the material. They should take place in a conference room with a laptop, projector, and white board. Provide hands on activities, building on previous ones. Encourage the new administrator to practice new skills. Limit session time to 1 to 2 hours allowing the trainee enough time to grasp the material but not permitting enough time for boredom to set in.
Work with your Rational Account Executive to grant the new administrator to the Rational License Key Center and Rational Support as well as any other needed services. Ensure that administrator access is provided to the Rational Tools and that the administrator can access any systems that support the tools.
Trial By Fire
Allow as much time as possible for the new administrator to assume your Rational Tools responsibilities while you are still on site. Ask to be “CC:’ed” on any Rational Tools related communication. Query team members regarding their satisfaction with the level of service they are receiving. These steps will give you opportunities to provide additional guidance.
