Are you a virtual hoarder? TV Reality shows feature physical hoarders, and whether you view them with empathy or contempt, they highlight the impact of accumulating more items that a person can care for. Virtual hoarding is similar – where a person is unable to free themselves of files, pictures and emails. Over time, this can impact their ability to find the information they need, and depending on their unique environment, can have significant impact on storage space and costs.
To combat this problem, many of us have IT departments which define space limitations for our emails or shared accounts. To support these efforts, new Version 7.5 functionality is available for you to email your reports to a URL, instead of sending large report files to multiple email accounts. The Email URL functionality was introduced to you last year here, and during the Pulse 2012 Conference, it was detailed in more version along with the QBR Editing
A few of the additional highlights made during the recent session included:
1. When you select to email a report to a url, you will receive a hyperlink within the email. When you click on the hyperlink, it will take you to the Report Viewer application where you can then view or save your report results.
2. To use this functionality, you must be a Maximo user because the output is displayed within Version 7’s Report Viewer application. If you select to email the report to someone who is not a Maximo user, you will receive a message similar to what is shown here to the left.
3. The functionality introduces three new database tables to hold the retained content, which are REPORTOUTPUT, REPORTOUTPUTCNT and REPORTOUTPUTAUTH. These three database objects are not only key to this functionality, but also potentially to your potential configuration.
4. And to insure that your users are managing the output, and not ‘hoarding’ reports with outdated information, a cron task is available to clear out the report output on a regular basis. This is the REPORTOUTPUTCLEANUP Cron task, and defines the number of days that the report output entries should be held in the database.
