From the Maximo Support Desk - Use a Salvage Storeroom To Retire Rotating Assets

The simplest method to manage Assets that will no longer be used is to use the Asset Move/Modify function to simply move an Asset to a Location of Type 'SALVAGE'. However, some client clients have indicated that their current, or legacy business practices dictate that a Storeroom be used to physically store, and account for the "retired" assets - both rotating and non-rotating.
 

In Maximo versions prior to 7.5, the Issues and Transfers application would be used to just move it to another Storeroom. Beginning with Maximo 7.5, the Issues and Transfers application has been replaced with the Inventory Usage application. Since this usage case is one where the client is using a Storeroom to hold all of their "scrapped" or otherwise decommissioned assets, then the following procedure can be used to move the rotating item/asset to that Storeroom.

 

It is important to note that the inherent problem in using a Storeroom for this purpose, as opposed to a Location of type 'SALVAGE', is that the same logic and business rules apply to all Storerooms regardless of their physical purpose and usage. This means that the "salvage" Storeroom will need to be associated to the Item record for any item/asset that you want to move there.

 

Create, or identify the Storeroom that is to be used for this purpose

  1.     Without exploration into an entirely different business scenario, consider the Security/access to this Storeroom; it would be advisable to prevent this Storeroom's items from appearing in any lookup list, and thus being selected for reorder, planned materials, etc.
  2.     In the Item Master application, open the record for the item that will be moved to the "salvage" Storeroom
  3.     Select Action | Add Items to Storeroom
  4.     Select the "salvage" Storeroom and click OK
  5.     Enter the Issue Unit, and a value in any other applicable field and click OK
  6.     Save the record
  •     This is necessary so that a balance can be transferred from the originating Storeroom to this one.


Now the item can be transferred to the "salvage" Storeroom via the Inventory Usage application:

  1.     Go To Inventory | Inventory Usage
  2.     Click on the New Inventory Usage button
  3.     In the From Storeroom field | detail menu | Select Value | click on the Storeroom where the item is currently located
  4.     In the Usage Lines section click on the New Row button
  5.     In the Usage Type field | Select Value | click on TRANSFER
  6.     In the Item field | Select Value | click on the Item that you want to Transfer
  7.     In the Rotating Asset field | detail menu | Select Value | click on the Asset number that you want to transfer
  8.     In the To Storeroom field | detail menu | Select Value | click on the Storeroom that you are transferring the item to
  9.     Save the record
  10.     Click on the Change Status button
  11.     In the New Status field select Complete


The status of the rotating asset must be updated to DECOMMISSIONED:

  1.     Open the record for the rotating asset number that was just transferred
  2.     Click the Change Status button
  3.     In the New Status field select Decommissioned
  4.     Click OK


NOTES:

  • You cannot issue an item from a Storeroom to a Location, it must be a transfer transaction when a Location is being used. The Issue transaction is only allowable to a labor or person.
  • To transfer the item to a location, instead of another Storeroom, the Inventory Usage application will be used in a similar manner as described above.
  • In this manner, the same procedure can be used in the Inventory Usage application, but with the following deviation. Instead of selecting a Storeroom in the To Storeroom field, use the Detail Menu | Go To | Locations; in the Locations application, select the salvage Location and then click Return With Value. The Location will populate the To Storeroom field.
  • As with any item or asset that is updated to DECOMMISSIONED status, there must be no open or pending transactions associated to the item or asset. This includes PO/PR, Contract, Work Order, Job Plans, etc.
