Modifying user notification settings

You can change the settings for the asset feed on your dashboard, email notifications, or SMS notifications from your profile.

Before you begin

Remember: If a mobile phone carrier does not support the SMS email extension format, SMS notifications cannot be sent to the users who have chosen to use that mobile phone carrier.

The length of an SMS notification is determined by the mobile phone carrier being used. If you do not have a mobile plan with unlimited text messaging, keep in mind that long messages might be broken into multiple messages.

About this task

When you modify your notification settings for your feed, the events that are visible in your feed include events that occurred before the settings changed. Your feed includes all of the relevant events from the last 90 days. From the My Dashboard > My Feed page, you can change the time frame for the events in the Show Activity field to display events from the last 7, 28, 60, or 90 days.

Procedure

  1. Click My Dashboard.
  2. Next to your user name, click Edit.
  3. Select the notification preferences for your asset changes. These preferences include:
    • Automatically subscribe to assets you create: I want to be added as a subscriber to any asset I create, even if I am not the owner of the asset.
    • Receive notifications on the asset changes you make: I want to receive email and SMS messages for the changes I make to assets based on my role and event selections in the Notifications preferences below.
  4. Select a notification method for each of events that are not applied by asset roles. These events include:
    • I became a reviewer, approver, or lifecycle manager: I want to be notified that I have been given a role for an asset.
    • Changes to related assets: I want to be notified that a related asset of an asset I own has moved into the pre-retired or retired state.
  5. Expand the section for the role to edit the notification settings for that role.
  6. Select a notification method for each of the events that are applied by your asset role. To determine which events to include, read the event statements in the following table. As you read the statements, replace role with each of the following roles: Subscriber, Reviewer, Approver, and Owner. When a statement is relevant to you, select that event by that role and the one of the following notification methods: My Feed, Email, or SMS.

    Asset State Change When I am an asset role, I want to be notified that someone moved the asset to a different state.
    New Asset Version When I am an asset role, I want to be notified that someone created another version of the asset.
    Asset Discussion Activity When I am an asset role, I want to be notified that someone created, updated, or deleted a forum or a comment in the Discussion page of an asset.
    Asset Subscriptions When I am an asset role, I want to be notified that someone subscribed to the asset.
    Asset Approval Activity When I am an asset role, I want to be notified that someone voted on the asset by approving or rejecting it and I want to see the comments from that review.
    Asset Review Comments When I am an asset role, I want to be notified that someone entered comments on the Review page.
    Asset Lifecycle Policy Results When I am an asset role, I want to be notified that a policy requirement passed or failed.
  7. Click Update to save the changes.

What to do next

To reset your notification profile, you can click Restore Defaults to replace the customized selections for the role with the default notification settings.
