Process Portal: What's new in IBM Business Process Manager V8.5.7

The Process Portal that is available in IBM® BPM V8.5.7 looks very different from Heritage Process Portal in IBM BPM V8.5.6.

In V8.5.7, Process Portal was redesigned so that you can complete your work more effectively on any kind of device. In addition, you can now create, update, and delete saved searches directly in Process Portal.

The main changes in IBM BPM V8.5.7 compared to IBM BPM V8.5.6 are summarized in the following table.

Create and share saved searches. In the Server Admin area of the Process Admin Console, click Saved Search Admin.

All users who have access to the Process Admin Console can create and update saved searches. The saved searches are shared with everyone.

The saved searches are in Heritage Process Portal on the Work > Saved Searches tab.

If you organize the saved search by process instance, users do not see a search box on the corresponding saved search page in Heritage Process Portal.

In the navigation pane on the left side of the Process Portal window, ensure the Dashboards heading is expanded and click Create Saved Search, or click the Launch Saved Search Editor icon in the Work page header. The person who creates the saved search determines whether it is private or shared.
As a Process Portal user, you can
  • Create saved searches.
  • Share your saved searches with all Process Portal users or the members of a team that you belong to or manage.
  • Update and delete your saved searches.
As an administrator, you can
  • Create saved searches.
  • Share your saved searches with all Process Portal users or a team.
  • Update and delete your saved searches.

Regardless of whether you organize the saved search by task or by process, the search results are always full-text searchable.

Administrators can restrict who can share saved searches by adjusting the security groups that are assigned to the ACTION_CREATE_SHARED_SAVED_SEARCH action policy.

Modify search criteria for saved searches. You cannot modify search criteria directly in Heritage Process Portal. All users who have access to the Process Admin Console can update saved search definitions. You can modify both the filter criteria and the saved search columns in your saved searches directly in Process Portal.

Administrators can use the REST APIs to modify shared saved searches belonging to other users.

Delete saved searches. Saved searches can be deleted with the REST APIs only. You cannot delete them in either Heritage Process Portal or the Process Admin Console. You can delete your saved searches directly in Process Portal.

The following filters are provided:
  • Open Tasks: A combined list of claimed and available tasks for the user.
  • Completed Tasks: Tasks that the user completed.
Saved search pages
Filters are built into the saved search definition. No additional filters are provided in Heritage Process Portal.
Both the Work and saved search pages provide the following filters:
  • All: All tasks that the user is authorized to see.
  • Available: Available tasks that can be claimed by the user.
  • Claimed: Tasks that are claimed by the user
  • Claimed and Available: A combined list of claimed and available tasks for the user.
  • Completed: Task that the user completed.
As an administrator, view lists of tasks on the Work and saved search pages.
Work page
The task list contains your claimed tasks and unclaimed tasks assigned to your teams (task list authorization is applied).
Saved search pages
The task lists contain tasks assigned to any team and any user (task list authorization is not applied for administrator users).
Both Work and saved search pages contain your claimed tasks and unclaimed tasks assigned to your teams (task list authorization is applied).
Attention: If you upgraded or migrated to IBM BPM V8.5.7 from an earlier version of the product, you might see differences in the tasks lists on the upgraded saved search pages because task list authorization is now applied to saved searches.

You can update the search criteria for the Work page, then save the search as a different saved search without any change in the authorization behavior.

Request help from another user. You can get help from other users in several ways:
  • Direct a comment to another user by posting a comment in the Stream tab and using the At sign (@) and the user name to identify the user, for example, @Doe, John.
  • Collaborate with another user directly on a task that you own by selecting Collaborate from the actions list for the task (deprecated).
  • Start an instant messaging session with an expert by clicking Chat on the Experts tab.

You cannot directly collaborate or chat with experts.

Monitor personal performance. If enabled by an administrator, the dashboard is available in the Organize tabs list. Personal statistics are available in the header of the Work page.
Work on tasks in BPEL processes. Not supported. You get a message to indicate that you can't work on the task. BPEL tasks implemented as external activities are supported. These tasks open in a new browser window in Process Portal. For more information about implementing external activities, see Integrating custom web-based user interfaces in Process Portal.
Change the default start page. Click the + (plus) icon on the current page. Change the order of the entries in the Dashboards list in the navigation pane: the first entry in the list is used as your default start page.
Attention: If you upgraded or migrated to IBM BPM V8.5.7 from an earlier version of the product, the Heritage Process Portal default start page does not take effect in Process Portal. You must set the default start page again in Process Portal.
