Creating warranty contracts

After you purchase items or assets, you can create warranty contracts to define warranty coverage. After you create warranty contracts, users are alerted when possible warranty situations arise for items or assets.

About this task

You can define the repairs to assets that warranty providers are responsible for making or paying for.

You can also define warranty coverage for specific items or for a group of items that have the same component code. After you create and approve item warranty contracts, users can identify warranties when they apply in the following situations:
  • Items on invoices
  • Inventory issues and transfers
  • Purchase orders
  • Purchase requisitions
  • Requests for quotations
  • Work orders

Procedure

  1. Create a warranty contract.
    Option Description
    If you are creating warranty contracts for assets... In the Asset Warranty Contracts application, create an asset warranty contract.
    If you are creating warranty contracts for items... In the Item Warranty Contracts application, create an item warranty contract.
  2. On the Contract tab, enter information about the warranty vendor.
  3. On the Properties tab, specify the properties of the warranty contract.
  4. On the Coverage tab, specify the warranty coverage details.
    Option Description
    If the warranty coverage is for a specified length of time... In the Coverage section, specify the duration.
    If the warranty coverage is for a meter-related duration, for example, mileage... In the Meter Lines for Coverage section, specify the meter coverage details.
  5. Optional: On the Terms and Conditions tab, specify any terms and conditions that apply to the warranty contract.
  6. Select the Authorize Sites action and authorize one or more sites to use the warranty contract. You must authorize at least one site to use the warranty contract before you can approve the contract.
  7. Save and approve the warranty contract. You must approve asset warranty contracts before you can specify the assets that are covered.
  8. If you are creating an asset warranty contract, on the Associated Assets tab, specify the assets that are covered by the asset warranty contract.
  9. Save the warranty contract.
  10. Optional: When you create a warranty contract, it has a unique contract number. You can append data to the number to differentiate it from other contracts. For example, if you have multiple sites and want to track contracts by site, you can append a site identifier to the contract number.
