Abstract

You can create custom menus for the ribbon bar and context menus to use in IBM® Content Navigator for Microsoft Office for each desktop in your environment.

About this task

You can customize the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications in the following ways:

  • You can change the display order of the commands in the ribbon bar.
  • You can change the display order of the actions for a ribbon bar command.
  • You can remove a group of commands from the ribbon bar.
  • You can remove an action from a ribbon bar command.

You can customize the IBM Content Navigator for Microsoft Office context menus in Microsoft Office applications in the following ways:
  • You can change the display order of the actions in a context menu.
  • You can remove an action from a context menu.

Procedure

To make appropriate changes:

  1. Open the administration tool in the web client and click Menus. Customize the contents of menus by selecting and copying the default menu that you want to change. Then, specify the name of your custom menu, and use the list boxes with the selected actions and available actions to change the order of the actions, or remove an action from the list.
  2. Select the desktop that you want to modify, and then select the Menus tab. Specify which menus you want users to see. In the sections for Microsoft Office Ribbon Bar Commands, and Microsoft Office Context Menus, for each corresponding menu that you want to change, select the name of your custom menu.

The following table provides a description of the ribbon bar menus that can be customized. Use this information to help you select the appropriate default menus to copy and change, and the desktop menus to assign to your custom menus.
Microsoft Office Ribbon Bar CommandsDescription
Ribbon bar Add command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, when the user clicks the Add command in the Edit group of commands. By default, this command menu includes the following actions:
    • Add
    • Add with template
Ribbon bar command menuDisplayed as the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications. By default, this command menu includes the following command groups:
    • Login
    • Open
    • Add
    • Edit (includes the Add command group and the Save command group)
    • Teamspaces
    • Workflow
    • Custom Commands
    • Resources
For all Microsoft Office applications except Microsoft Outlook, the Add command group for this ribbon bar is hidden, and the Edit command group is displayed, including Add and Save command groups.

For Microsoft Outlook, the Edit command group is hidden, and the Add command group for this ribbon bar is displayed.

The Teamspaces, Workflow, and Custom Commands buttons are displayed in the ribbon bar only when those features are configured.

Ribbon bar Custom command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, if custom commands are available. By default, this command menu includes the custom commands that are specified in the general desktop options for Office configuration. You can specify up to 4 custom commands for this group.
Ribbon bar Edit command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Edit group of commands. By default, this command menu includes the following command menus and actions:
    • Add (command menu)
    • Check In
    • Check Out
    • Cancel Checkout
    • Save (command menu)
    • View / Modify Properties
    • View / Modify Security
The Edit group is not displayed for Microsoft Outlook.
Ribbon bar Login command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Login group of commands. By default, this command menu includes the following action:
    • Connect
Ribbon bar Open command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Open group of commands. By default, this command menu includes the following actions:
    • Browse
    • Search
    • My Folder
    • Favorites
    • Recently Used
Ribbon bar Outlook Add command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Outlook only. By default, this command menu includes the Add command menu only. It does not include any other Edit group commands.
Ribbon bar Resources command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Resources group of commands. By default, this command menu includes the following actions:
    • Help
    • About
Ribbon bar Save command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Save group of commands. By default, this command menu includes the following actions:
    • Save
    • Save with Properties
Ribbon bar Teamspaces command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Teamspaces group of commands. By default, this command menu includes the following actions:
    • Teamspaces
    • Browse
    • Search
    • Add
Ribbon bar Workflow command menuDisplayed in the IBM Content Navigator for Microsoft Office ribbon bar in Microsoft Office applications, for the Workflow group of commands. By default, this command menu includes the following actions:
    • Tasks
    • Launch Workflow

The following table provides a description of the context menus that can be customized. Use this information to help you select the appropriate default menus to copy and change, and the desktop menus to assign to your custom menus.

Browse content list document context menuDisplayed when the user right-clicks a document in the list of items in the Browse pane. By default, this context menu includes actions that enable the user to open and work with the selected document.
Browse content list folder context menuDisplayed when the user right-clicks a folder in the list of items in the Browse pane. By default, this context menu includes actions that enable the user to open and work with the selected folder.
Browse tree view repository context menuDisplayed when the user right-clicks a repository in the tree view of the Browse pane. By default, this context menu includes actions that enable the user to open and work with the selected repository.
Browse tree view folder context menuDisplayed when the user right-clicks a folder in the tree view of the Browse pane. By default, this context menu includes actions that enable the user to open and work with the selected folder.
Browse tree view saved search context menuDisplayed when the user right-clicks a saved search in the tree view of the Browse pane. By default, this context menu includes actions that enable the user to open and work with the selected saved search.
Version series content list document context menuDisplayed when the user right-clicks a document in the tree view of the Version series pane. By default, this context menu includes actions that enable the user to open and work with the selected document.
Favorites content list document context menuDisplayed when the user right-clicks a document in the list of favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Favorites content list folder context menuDisplayed when the user right-clicks a folder in the list of favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Favorites tree view folder context menuDisplayed when the user right-clicks a folder in the tree view for favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
My checkouts content list document context menuDisplayed when the user right-clicks a document in the list of My checkouts. By default, this context menu includes actions that enable the user to open and work with the selected document.
Recently used content list document context menuDisplayed when the user right-clicks a document in the list of recently used items. By default, this context menu includes actions that enable the user to open and work with the selected document.
Favorites content list saved search context menuDisplayed when the user right-clicks a saved search in the list of favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Favorites tree view saved search context menuDisplayed when the user right-clicks a saved search in the tree view for favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Search results content list document context menuDisplayed when the user right-clicks a document in the list of items in the Search Results pane. By default, this context menu includes actions that enable the user to open and work with the selected document.
Search results content list folder context menuDisplayed when the user right-clicks a folder in the list of items in the Search Results pane. By default, this context menu includes actions that enable the user to open and work with the selected folder.
Search results content list saved search context menuDisplayed when the user right-clicks a saved search in the list of items in the Search Results pane. By default, this context menu includes actions that enable the user to open and work with the selected saved search.
Favorites content list teamspace context menuDisplayed when the user right-clicks a teamspace in the list of favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Favorites team view teamspace context menuDisplayed when the user right-clicks a teamspace in the tree view for favorites. By default, this context menu includes actions that enable the user to open and work with the selected favorite.
Teamspaces content list teamspace context menuDisplayed when the user right-clicks a teamspace in the list of teamspaces. By default, this context menu includes actions that enable the user to open and work with the selected teamspace.
Teamspaces tree view teamspace context menuDisplayed when the user right-clicks a teamspace in the tree view for teamspaces. By default, this context menu includes actions that enable the user to open and work with the selected teamspace.
Workflow attachment content list document context menuDisplayed when the user right-clicks a document in the list of workflow attachments. By default, this context menu includes actions that enable the user to open and work with the selected document.
Workflow reference content list document context menuDisplayed when the user right-clicks a document in the list of workflow references. By default, this context menu includes actions that enable the user to open and work with the selected document.
Minimum required version: IBM Content Navigator, Version 2.0.3.5.
