Import the DoD Workflows in IBM Enterprise Records V5.2.0.3

There are 3 new DoD workflows introduced in IBM Enterprise Records V5.2.0.3: Export, Interim Transfer and Two Step Transfer. These workflows replace the 6 old DoD workflows: Export, Export with Mapping, Interim Transfer, Interim Transfer with Mapping, Two Step Transfer and Two Step Transfer with Mapping.

If you are an existing customer who upgraded your existing File Plan Object Store, you must import the 3 new DoD workflows.

To import the DoD workflows:

1. Complete all pending workflow work items that belong to the following 6 old DoD workflows: Export, Export with Mapping, Interim Transfer, Interim Transfer with Mapping, Two Step Transfer, and Two Step Transfer with Mapping.

Refer to the Importing the workflow configuration files topic in the IBM Enterprise Records Installation and Upgrade Guide (pp. 193-194 in the Installation and Configuration Guide PDF) to import the RMStepProcessorInfoConfig.xml file (Step 6 to Step 12).

3. On the product installation disk, go to the Workflows directory and locate the following files: Export.pep, InterimTransferWorkflow.pep, and TwoStepTransferWorkflow.pep.

4. Install and transfer the 3 new DoD workflows:

a. Start the Workflow Process Designer.

b. Choose File > Open and go to the IER_INSTALLATION_CD/Workflows/filename.pep file.

c. When prompted, validate and transfer the filename.pep file.

d. Add Export.pep to the Root Folder/Records Management/Workflows/Export folder, and add InterimTransferWorkflow.pep and TwoStepTransferWorkflow.pep to the Root Folder/Records Management/Workflows/Transfer folder in the file plan object store.

5. Refer to the Reconfiguring actions to associate with new workflows topic in the IBM Enterprise Records Installation and Upgrade Guide (pp. 196 in the Installation and Configuration Guide PDF) to update the existing actions using the old 6 DoD workflows.

If you are using IBM FileNet P8 Component Manager version 2, you must reconfigure workflows to work with the 3 new DoD workflows.

To reconfigure workflows:

1. Remove the xercesImpl.jar file and the xml-apis.jar file from the IER_INSTALLATION_DIR/Workflow/configureRMworkflow/lib-CMv2 directory.

2. In IBM Enterprise Records Configuration Manager, rerun the Configuring and transferring workflows topic in the IBM Enterprise Records Installation and Upgrade Guide (pp. 55 in the Installation and Configuration Guide PDF).

3. Restart the application server where Content Platform Engine server is deployed.
