Question
If I have made changes to a new Workflow process revision and then decide to go back to an older revision, how do I do that?
Answer
There are two cases discussed below, the simple case of a single Workflow process and the more complicated case of a Workflow process with Sub-processes.
In the simple case, where for example you have Revision 3 Enabled and Active and decide you want to go back to using Revision 2, you would just deactivate Revision 3 and Activate Revision 2. To deactivate a Workflow process you open it in Workflow Designer and use the Select Action menu to choose Deactivate Process.
In the more complex case where you have a Workflow process with Sub-processes and you want to use an earlier revision of a Sub-process you would need to use the procedure detailed below. You need this procedure as once a process has been Enabled and used as a Sub-process you cannot simply Disable it. For this example we will say that Revision 3 of the Sub-process has been Synchronized with the Main Workflow process and that you wish to go back to using Revision 2.
- Open Revision 2 of the Sub-process in Workflow Designer.
- Use Create Process Revision from the Select Action menu or the toolbar to create Process Revision 4 (it will automatically pick the next highest Process Revision number, since Revision 3 exists already, it will create Revision 4).
- Save and Enable Revision 4 (if any changes to it are needed, do them before Saving and Enabling it).
- Open the Main Workflow process in Workflow Designer.
- Choose Re-synchronize an Active Workflow Process from the Select Action menu.
- Now if you choose View Synchronized Processes from the Select Action menu you will see that Revision 4 is now being used. Remember, Revision 4 is a copy of the older revision, Revision 2, that you wanted to restore.
